About the Role
We're looking for a Global Employee Experience Specialist to own the physical and cultural heartbeat of our six global offices and our virtual employee experience. This is an individual contributor role sitting at the intersection of facilities, culture, and employee experience – someone who thinks proactively, works across functions with ease, and takes genuine pride in creating environments and moments that make people feel like they belong.
You'll drive the day-to-day onsite experience across all six of our global office locations, making sure every office feels welcoming, functional, and reflective of our culture – while also partnering with People leadership to bring our virtual employee experience to life for our global workforce. From Employee Resource Groups and internal events to facilities and vendor management, this role touches every part of how our people experience work at Pantheon. As we continue to grow, you'll also play a supporting role in office expansion, helping ensure new locations are set up with the same care and consistency as our existing ones.
In office 1-2 days a week, quarterly travel to other office locations
What You'll Own
Global Onsite Experience (6 Offices)
- Serve as the primary point of contact for all six office locations – managing facilities, vendor relationships, and day-to-day operations with minimal oversight
- Own the full physical experience at each location: food and snack programs, office supplies, cleanliness, access control, and the overall environment
- Liaise with building owners and managers across locations; proactively coordinate maintenance, repairs, and improvements before they become issues
- Manage access control and keycard administration across all locations
- Manage onsite and remote vendor relationships – catering, cleaning, food services, furniture, and more – including contract renewals, negotiations, and performance
- Coordinate and support office moves and reorganizations end-to-end
- Maintain documentation for office access, use guidelines, and operational processes across all six locations
- Support in-person onboarding for new hires starting in office, ensuring their first week experience is welcoming, set up, and reflective of our culture
- Partner with leadership and Finance on office expansion – supporting the evaluation and buildout of new locations while helping maintain a consistent, high-quality experience across new locations
- Coordinate room and facility bookings, ensuring spaces are set up and functional for the people using them
- Provide basic AV and IT equipment support onsite in partnership with IT
- Support leaders for in-office or local area offsites in partnership with our Executive Business Assisstants
- Help define and maintain the standard for what a great onsite experience looks and feels like across all locations, and ensure that bar travels with us as we grow
Global Virtual Experience
- Support our Employee Resource Groups (ERGs) end-to-end: operational support, programming, event coordination, and budget tracking
- Execute and support culture initiatives that bring our values to life in a distributed, global workforce
- Manage and execute the internal events calendar in partnership with People leadership, including company-sponsored internal events, holiday celebrations, cultural moments, and company fundraisers
- Manage swag programs: inventory, vendor relationships, new hire and anniversary distribution, and custom requests – including leading vendor migrations and ongoing improvements to the program
- Manage and grow our internal fundraiser and donation program
- Drive anniversary and milestone celebrations and recognition programs
- Support onboarding through the lens of belonging and experience
- Maintain employee intranet content and internal documentation relevant to onsite and virtual experience programs
- Identify gaps in the employee experience and proactively bring forward recommendations to People leadership
What We're Looking For
- Demonstrated ability to manage multiple locations or programs simultaneously with minimal guidance
- Strong vendor management experience. You know how to run an RFP, manage a contract, ask the right questions, and hold a vendor accountable
- Exceptionally organized - you build systems, maintain them, and bring structure to ambiguity; nothing falls through the cracks and you don't wait to be reminded
- A clear, structured communicator in writing, in meetings, and across functions. You know how to get the point across, tailor your message to your audience, and loop in the right people at the right time
- Skilled at managing multiple workstreams simultaneously across a distributed, global environment. You can hold the thread on a vendor negotiation, an upcoming event, and a facilities request all at once without losing momentum on any of them
- Proactive in surfacing updates and blockers, you share timely, organized status updates
- Comfortable navigating ambiguity and making judgment calls; you surface risks early and bring proposed solutions
- Experience working across global or distributed teams; cultural awareness and sensitivity matter to you
- Someone who brings energy to high-visibility moments like onboarding, events, and milestones, because you understand the impact they have
- Familiarity with tools like Slack and Google Workspace
- Based in Vancouver, Chicago, or San Francisco, with the ability to be on-site in your location regularly; periodic travel to other office locations is expected
What Success Looks Like in Year One
- All six offices are running smoothly and are proactively managed
- A clear, documented playbook has been contributed to for what the in-office experience looks like at Pantheon, which can be used for standing up new offices, so expansion doesn't mean starting from scratch
- Vendors are performing, processes are streamlined and automated, and there is clear documentation
- The employee events calendar is built out and being executed against with clear ownership and lead times
- ERGs have consistent operational support and feel resourced and valued
- You've brought at least one new idea or initiative to life, something that didn't exist before you got here
- Leadership sees you as a trusted partner who brings ideas, flags risks, and drives projects and events end-to-end

The base salary for this position is $64,000 - $80,000 CAD annually. Final compensation will be determined based on factors including role scope, relevant experience, and geographic location. This position is also eligible for a performance bonus based on company performance.
