About this Family and Youth Intake Coordinator - Spanish Required role at Buckner International
We are seeking an Intake Coordinator to join our Family and Youth Services Program. As an Intake Coordinator, you will Shine Hope as you provide accurate data entry into PEIS and agency database and coordinate the eligibility assessment process of all referrals. What you'll do:
- Accept and screen all incoming FSS referrals. Assess eligibility and crisis status.
- Greet all guests, clients and visitors using established hospitality standards, determine their purpose, and direct them to the appropriate program areas or staff members.
- Conduct and process unplanned crisis requests for services as they occur.
- Counsel with clients, families when performing intakes as appropriate.
- Maintain and track client logs regarding participation and billable services.
- Prepare A/P vouchers and contractual billing as requested.
- Prepare FSS accounts receivable reports. Identify and report billing discrepancies to Program Supervisor to ensure accurate and compliant submissions. Take appropriate action in resolving discrepancies as requested or directed.
- Provide support regarding program audits, monitoring visits, or compliance reviews when requested.
- Supervise the overall needs of the FSS office such as, office supplies stocked for staff use; keep the appearance of the office in accordance with the holidays and special events.
- Act as a liaison between vendors, contractors, and personnel.
- Distribute incoming mail and prepare outgoing mail for daily pick-up.
- Report suspected child abuse/neglect to Supervisor and appropriate law enforcement agency.
- Maintain positive, professional appearance and demeanor while interacting and/or communicating with others.
- Consult with supervisor as necessary.
- Timely and accurately respond to inquiries regarding the FSS program; provide detailed eligibility requirements. Accurately and appropriately respond to basic questions from clients about program services. Provide information and referrals to families. Refer callers to other Buckner programs or other appropriate providers when necessary.
- Timely and accurately maintain electronic and paper filing systems in accordance with established guidelines and audit requirements as determined by the Manager. Timely and accurately input or coordinate input of client information into PEIS & Extended Reach database. Assist Case Manager’s in uploading and entering in data into Extended Reach database.
What you’ll bring:
- High school diploma or G.E.D. required; Associate’s or Bachelor’s Degree preferred.
- Requires ability to understand and carry out detailed oral and written instructions.
- Minimum 2 years prior related experience working with youth and families required.
- Requires ability to read, write, speak, and understand English sufficiently to perform the essential functions of the position, including communication with clients, volunteers, and community partners, documentation, and collaboration with staff.
- Requires proficient knowledge of Microsoft Excel software including data entry, formula usage.
- Requires proficient ability to speak, read and write English professionally. Spanish language proficiency required, including the ability to communicate effectively verbally and in writing, due to the need to regularly serve Spanish-speaking clients.
- Requires proficient working knowledge of crisis intervention and ability to demonstrate related skills.
- Experience and knowledge of accounting principles preferred.
- Experience and knowledge of state contracted programs and billing requirements and guidelines preferred.
- Requires ability to drive assigned vehicle(s) or personal vehicle, with appropriate state license, following all laws applicable; must provide proof of liability insurance and must be eligible to be insured under Buckner’s insurance policy. Must be age 21 or older to drive on behalf of Buckner.
- Requires ability to use up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force continuously to move objects and/or people.
- Requires ability to walk, stand and sit, sometimes for prolonged periods of time.
