Facilities Coordinator - Contract Position
Location: Remote
Reports To: Director of Facilities
Employment Type: 1099
Compensation: $30-50/hour based on experience, 20-40 hours per week
Primary Purpose
The Facilities Coordinator plays a critical role in ensuring the smooth operation and maintenance of VetEvolve’s veterinary clinics. This position is responsible for coordinating repairs, overseeing vendor relationships, tracking preventive maintenance (PM) schedules, and maintaining accurate records of building assets. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, multi-site environment.
Key Responsibilities
Daily Duties
- Review and triage incoming repair requests or service tickets.
- Assign tasks to internal technicians or external vendors.
- Manage supply orders and project logistics for facility technicians.
- Communicate repair and project status updates to clinic teams.
- Log work orders, costs, and outcomes in the tracking system.
- Monitor for emergency or safety-related issues and escalate as needed.
Weekly Duties
- Run and review open work order reports; follow up on overdue items.
- Ensure PM visits are scheduled and completed on time.
- Evaluate vendor performance and resolve service delays.
- Update asset and vendor tracking databases.
- Review deferred maintenance list and prioritize action items.
Monthly Duties
- Reconcile vendor invoices and ensure billing accuracy.
- Report on repair trends, spending, and key performance indicators (KPIs).
- Analyze PM compliance and forecast upcoming needs.
- Update capital planning list with new priorities.
- Conduct check-in calls with regional managers or practice leaders.
Qualifications
- 1+ years of experience in facilities coordination, vendor management, or related field.
- Strong organizational and communication skills.
- Proficiency in facilities management software and Microsoft Office Suite.
- Ability to manage multiple priorities across geographically dispersed locations.
- Experience in veterinary, healthcare, or multi-site operations is a plus.
- Service Channel experience
