Destsetters, amongst the most innovative Hotel Strategy Companies, is looking for a skillful Executive Secretary to join our team and act as a point of reference for all of our internal and external communication & procedures. To be successful in this role, you should have excellent organizational skills along with the ability to prioritize tasks and meet deadlines as well as to be passionate about creativity and innovative ideas.
Responsibilities:
- Organize and coordinate office operations and procedures.
- Ensure a well-maintained and organized office environment.
- Manage office supplies and equipment inventory.
- Schedule and coordinate meetings, appointments, and events.
- Maintain and update executive calendars.
- Assist in making travel arrangements and accommodations.
- Draft and edit internal and external communications.
- Handle incoming calls, emails, and correspondence.
- Conduct market research and compile data as needed.
- Handle confidential information with discretion.
- Assist in planning and organizing company events and functions.
How will you work:
- You will follow a structured schedule with daily, weekly, and monthly tasks, while also managing one-off assignments and urgent priorities.
- The role requires the ability to organize and prioritize multiple levels of responsibilities, including internal and external communications, office coordination, meeting planning, travel arrangements, research tasks, and general office setup.
- Many of your tasks will be connected to internal procedures and client-related deadlines, so consistency, ownership, and timely execution are essential.
- You will be expected to take responsibility for your schedule, follow up proactively, and ensure that every task is completed with accuracy, care, and attention to detail.
Requirements
- Minimum 5 years work experience in similar positions and/or in the Hospitality Industry
- Excellent verbal and written communication skills, both in Greek and English
- Ability to manage a multi-layered schedule with different types of tasks, from communications and administrative coordination to office setup, research assignments, and internal follow-ups.
- High sense of ownership and accountability, with the ability to meet strict deadlines that may be directly connected to client deliverables.
- Strong attention to detail and caring attitude towards the team, the office environment, and the company’s overall standards.
- Proactive mindset and ability to identify, address, and resolve issues effectively.
