Overview: Inovalon is seeking a highly experienced Executive Assistant & Office Manager to support senior members of the executive leadership team while leading office administration and facility operations. This role is responsible for delivering high-level, confidential, and complex executive support, while also ensuring efficient, compliant, and scalable workplace operations across locations.
This position operates as a strategic partner to leadership, managing executive priorities, enabling decision-making, and driving operational excellence. In addition, the role oversees office operations, vendor management, workplace services, and employee experience initiatives to support a productive and engaging work environment.
The incumbent will play a critical role in aligning executive, administrative, and workplace functions with organizational goals, while driving process improvements, cost efficiencies, and seamless day-to-day operations
Essential Functions:
- Provide strategic, high-level executive support to senior leadership and/or C-suite executives, including proactive management of complex calendars, communications prioritization, meeting governance, and travel orchestration across multiple time zones and stakeholders.
- Lead the development of executive-level presentations, reports, and communications, ensuring accuracy, strategic alignment, and confidentiality related to company strategy, Board of Directors, shareholders, investors, and leadership initiatives.
- Own and manage executive-related budgetary activities, including monitoring, forecasting, reconciliation, and expenditure authorization within defined limits, while identifying opportunities for cost optimization and operational efficiency.
- Interpret, synthesize, and convey highly complex and sensitive information, ensuring clarity and alignment across stakeholders, and enabling informed decision-making at the executive level.
- Adapt and influence communication across diverse audiences, providing guidance to stakeholders and ensuring messaging is aligned with organizational priorities and leadership expectations.
- Drive and enhance administrative policies, procedures, and executive support frameworks, ensuring consistency, scalability, and alignment with evolving business and leadership needs.
Qualifications:
Associate’s Degree (A.A.) or Bachelor's degree in relevant field or an equivalent combination of education and work experience
8+ Years of progressive executive assistant experience support to senior executive/C Suite level
