About the Role

As Executive Assistant, GTM, you will be the strategic and administrative partner to OpenFX's Head of Go-To-Market and the operational owner of our Brickell, Miami office - roughly 70% executive support, 30% office operations. Your job is to multiply the Head of GTM's capacity: you own their calendar, meeting preparation, follow-through, travel, and event logistics, so their time can focus on the revenue-critical work only they can do, and you keep the office running smoothly even when they are on the road.

This is a role for a force multiplier, not a booking queue: you anticipate needs from business context, protect time diplomatically, and close every loop without supervision, with trust and discretion at the core of everything you do.

What You'll Do

  • Own the Head of GTM's complex, multi-time-zone calendar and inbox by vetting requests, prioritizing meetings, triaging inbound requests, and recommending trade-offs so time stays protected for the highest-impact revenue work.
  • Prepare briefing documents ahead of every external meeting - attendees, context, objectives, open items, and recommended talking points - so the Head of GTM never walks in cold.
  • Build and run the follow-through system that supports executive relationships, board and investor deadlines, and weekly action items, so commitments are tracked, chased, and closed.
  • Use Claude AI daily for meeting prep, summaries, and first-draft communications, and build reusable AI workflows that speed up the whole GTM operating rhythm.
  • Draft routine external communications - scheduling, follow-ups, introductions - that go out under the Head of GTM's name with light-touch edits.
  • Coordinate logistics for leadership hiring - interview loops, candidate travel, and onsite hosting - so searches keep moving at pace.
  • Own travel and event execution end-to-end, from itineraries to executive dinners and side events, anchored in flagship industry events like Money 20/20.
  • Run the Brickell office - vendors, facilities, supplies, building relations, and continuity planning (including hurricane preparedness) - so the office runs to standard even during executive travel.
  • Host clients, partners, and investors visiting the office, and make every new hire's first day seamless, from desk and equipment to accounts and badge.

What You Should Bring

  • 3-5 years supporting C-suite or senior executives in fast-paced, high-growth environments.
  • Anticipation grounded in business context: you read the pipeline, the board calendar, and org priorities, not just the calendar.
  • Independent judgment and diplomatic gatekeeping: you know which escalations outrank an internal sync, and you redirect requests to the right owner rather than blocking.
  • Ownership and follow-through: you close loops without supervision, drive open commitments to done, and hold yourself to measurable outcomes.
  • Outstanding written and verbal communication, with drafts strong enough to ship under an executive's name.
  • A high degree of trust and discretion with confidential material - customers, pricing, fundraising - in a regulated fintech.
  • Expert command of Google Workspace, Slack, and Notion, plus daily working fluency with AI tools like Claude.
  • Executive presence with board members, investors, and C-level partners, and a warm front-of-house presence for anyone visiting the Miami office.
  • Comfort coordinating vendors, purchasing, and facilities workflows with accuracy and timeliness.
  • Comfort with ambiguity and iteration, a bias for action and urgency, and the instinct to build strong relationships across GTM, People and Recruiting, Finance, and Legal.
