Job Title: Healthcare Operations Specialist

Working Hours: US Hours (9am-5pm EST)

Position Overview
We are seeking a detail-oriented Healthcare Operations Assistant to support the day-to-day administrative and operational functions of a healthcare organization. This role requires strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Depending on your experience and final placement, responsibilities may include:
- Managing patient intake and onboarding processes
- Coordinating insurance verifications and authorizations
- Supporting medical billing and claims administration
- Maintaining accurate client documentation and electronic records
- Ensuring compliance with company policies, payer requirements, and regulatory standards
- Performing quality assurance reviews and auditing documentation
- Scheduling appointments and coordinating clinician calendars
- Providing administrative support to clinical and operational teams
- Communicating professionally with families, providers, and insurance companies
- Maintaining confidentiality and HIPAA compliance
- Identifying process improvements and supporting operational efficiencies
- Assisting across multiple departments as business needs evolve
- Assist with patient, provider, and referral coordination.
- Maintaining accurate records and documentation.
- Monitor workflows and follow up on outstanding tasks.
- Assist with reporting, data entry, and process improvements.
Requirements
- Previous experience in healthcare administration, ABA administration, medical administration, or a similar operational environment is an advantage
- 2+ years of administrative or operations experience, preferably in healthcare.
- Experience in one or more of the following:
- Intake Coordination
- Medical Billing
- Insurance Authorizations
- Quality Assurance
- Compliance
- Office or Practice Administration
- Client Services or Patient Coordination
- Strong administrative and organizational skills
- Excellent attention to detail and accuracy
- Ability to prioritize multiple tasks and work independently
- Excellent written and verbal English communication skills.
- Proficiency with Microsoft Office and web-based systems
- Experience working with electronic medical records (EMR) or healthcare software is advantageous
- Experience within the ABA or behavioural healthcare industry is highly desirable
- Strong understanding of healthcare terminology and workflows.
- Highly organized with strong attention to detail.
- Proficient in Microsoft Office (Excel, Word, Outlook) and Google Workspace.
