Senior Executive Assistant to CEO

A regional management consulting firm with headquarters in Asia and offices across the US, Japan, Malaysia, and Singapore. The Singapore office serves as a key regional hub, working closely with headquarters and a broad network of international stakeholders.
The Role
They are looking for a sharp, proactive Executive Assistant to support the Principal directly. This is a high-trust, high-visibility role suited to someone who thrives in a fast-paced environment, takes ownership, and brings a level of professionalism that makes the Executive's day run seamlessly. You will be the operational backbone of the Principal's office, managing priorities, driving follow-through, and ensuring nothing falls through the cracks.
Key Responsibilities
- Manage the Principal's calendar, including scheduling of appointments, meetings, and calls, as well as end-to-end coordination of travel arrangements.
- Screen and prioritise incoming calls, emails, and correspondence, responding, filtering, or redirecting as appropriate.
- Prepare, review, and edit business correspondence, presentations, reports, and documents to a high standard of accuracy and professionalism.
- Compile meeting materials including agendas, presentations, and supporting documentation; attend meetings when required, take accurate minutes, and follow up on action items.
- Support special projects and strategic initiatives through research, data compilation, and preparation of comprehensive reports.
- Organise executive events and functions, managing logistics and liaising with internal teams and external stakeholders.
- Manage expense claims and financial tracking, including receipt compilation and preparation of detailed expense reports.
- Draft written communications and responses for the CEO's review and approval.
- Maintain strict confidentiality and exercise sound discretion when handling sensitive information.
- Perform general administrative duties to ensure smooth day-to-day operations of the Executive office.
What We're Looking For
- 3 to 7 years of experience in an Executive Assistant or Personal Assistant capacity, supporting C-suite or other senior stakeholders.
- Proficiency in Mandarin (spoken) is a strong advantage to communicate with stakeholders.
- Excellent organisational and time management skills, with the ability to manage competing priorities calmly and efficiently.
- Strong written and verbal communication skills in English.
- High degree of discretion and integrity when handling confidential and sensitive information.
- A proactive, detail-oriented mindset; you anticipate needs, take initiative, and follow through without being prompted.
