Master Works is seeking an Administrative Assistant to provide comprehensive administrative and executive support, coordinate daily office operations, manage schedules, meetings, and documentation, and ensure efficient communication across departments. You will support business operations by maintaining organized records, preparing reports and correspondence, coordinating travel, and assisting leadership in achieving operational excellence.

Key Responsibilities

  • Provide comprehensive administrative and executive support to the department and the Chief of Alternative Investments, ensuring the smooth and efficient day-to-day operations of the office.
  • Manage calendars, schedule meetings, coordinate appointments, and organize domestic and international travel, including detailed itineraries and logistics.
  • Prepare, review, and distribute correspondence, reports, presentations, meeting materials, and other business documents with a high level of accuracy and professionalism.
  • Coordinate meetings by arranging logistics, preparing agendas, recording minutes, and following up on action items to ensure timely execution.
  • Manage incoming communications, maintain confidential records and filing systems, and handle sensitive information with the utmost discretion and professionalism.
  • Liaise with internal departments, senior management, external stakeholders, and service providers to facilitate effective communication and support departmental operations.
  • Monitor departmental priorities, support special projects, assist with administrative processes such as expense reports and procurement documentation, and ensure compliance with organizational policies and procedures.

Requirements

  • Bachelor’s or Master’s degree in Business Administration, Management, or related field.
  • 10+ years of experience in administrative, executive support, or senior office management roles supporting high-level executives.
  • Strong executive coordination and stakeholder management skills.
  • High-level calendar and schedule management capabilities.
  • Experience handling confidential and sensitive executive information.
  • Strong exposure to budgeting, procurement, and expense tracking processes.
  • Ability to operate in fast-paced, high-level executive environments.
  • Excellent communication, organization, and problem-solving skills.
  • Arabic: Native
  • English: Fluent
