As a Business Operations Specialist, your role will be pivotal to the business operations of an Oceans client. When paired with a  visionary leader, you’ll ensure that the critical operations within their business run smoothly, efficiently, and effectively. You'll be the backbone of operations, driving everything from strategic coordination to problem-solving while making sure that business functions align perfectly with overarching goals. Your contributions will be the driving force that helps scale and grow the business.

Your success as a Business Operations Specialist will be measured by your ability to optimize processes, enhance operational efficiency, and support sustainable business growth.

Here’s how you’ll make an impact:

Operational Excellence & Business Coordination

  • Ensure seamless day-to-day operations by managing workflows, optimizing internal processes, and maintaining clear documentation.
  • Draft company policies, SOPs, and internal guidelines to enhance structure and clarity.
  • Identify inefficiencies in business operations and implement practical solutions to improve overall performance.
  • Coordinate cross-functional initiatives, ensuring teams are aligned with key business objectives.

Performance & Stakeholder Management

  • Track and analyze key performance indicators (KPIs) to measure operational success and identify areas for improvement.
  • Manage the flow of critical business information, ensuring the Executive has timely access to relevant insights.
  • Maintain strong relationships with internal and external stakeholders to facilitate smooth operations and decision-making.

Strategic Growth & Continuous Improvement

  • Collaborate with the client to identify opportunities for business scalability and efficiency.
  • Implement best practices and support long-term strategic planning efforts to drive sustainable growth.
  • Adapt to evolving business needs, proactively optimizing operations to meet company goals.

Correspondence & Communication

  • Serve as the point of contact for your client’s emails, phone calls, and other professional communication, ensuring responses are timely and professional.
  • Manage and streamline the flow of information to ensure your client receives all the relevant updates and data they need.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.

Colleagues

Your primary stakeholders will be the Executive you will be paired with, alongside their internal teams and stakeholders. Together you’ll ensure smooth operations and continued business growth. Depending on your area of focus, you may collaborate closely with Customer Success, Sales, or other operational teams.

At Oceans, you’ll also receive guidance and support from your Operations Manager, who will help you succeed in the role and ensure that you’re continuously growing and developing in your career.

Skills and Qualifications

At Oceans, we believe in T-shaped individuals—those who bring deep expertise in one area, paired with broad curiosity and interests. As a Business Operations Specialist, your vertical focus will be on optimizing business operations, ensuring workflows, processes, and cross-functional coordination drive efficiency. Your horizontal focus will cover strategic thinking, problem-solving, and stakeholder management—giving you the tools to identify inefficiencies, drive improvements, and collaborate seamlessly across teams. You’ll be expected to balance high-level strategy with hands-on execution, a key component of delivering impactful results that fuel business success.

To excel in this role, you should have:

  • Language Skills: Professional fluency in English, with excellent reading, writing, and speaking abilities.
  • Experience: At least 3 years in a communication-heavy role at a reputable firm, demonstrating strong interpersonal and organizational skills.
  • Education: An undergraduate degree is preferred, though relevant work experience is also valued. Certifications such as an MBA, CFA, CIM, CIPM, or CIMA will be considered as an added advantage

  • Leadership & Collaboration: Have you successfully managed or guided teams toward operational success while taking ownership and fostering a collaborative environment?
  • Tech proficiency: How have you utilized technology or tools to streamline processes and drive efficiency in business operations?

Role Specifications

This is a remote role, where you will be expected to work a split shift with some overlap with our client’s time zone. You will, however, be expected to be present for in-person training programs during your first 3.5 weeks with us.
