About the role
Optimal, on behalf of its client, a Real Estate company, is seeking an Executive Secretary based in Athens.
Scope of Role
As an Executive Secretary you will provide high-level support to the CEO, ensuring the efficient coordination of a demanding daily schedule as well as both professional and personal commitments. The ideal candidate will demonstrate a positive mindset, discretion, flexibility, and the ability to work independently while following the CEO’s guidance.
Key Responsibilities
- Serve as the first point of contact: handling emails and phone calls on behalf of the CEO
- Manage calendars, arrange meetings, and coordinate appointments
- Oversee personal tasks and commitments, including family and social matters
- Arrange travel plans, bookings, and itineraries
- Maintain databases and filing systems
- Organize events and provide support with ad hoc projects
- Monitor deadlines and ensure timely reminders for important tasks
- Draft, prepare, and review reports, presentations, and correspondence with accuracy and confidentiality
- Establish and maintain administrative processes and procedures
- Liaise with staff, suppliers, partners, and clients
- Track, collate, and file expenses
Qualifications
- Bachelor’s degree in Βusiness Αdministration, Communications, or a related field
- Excellent written and verbal communication skills in English & French
- Strong command of Microsoft Office Suite
- Outstanding organizational, time management, and multitasking skills
- Proactive, flexible, and solutions-oriented attitude
