Position Summary
The Technical Project Manager (Tech PM) owns delivery of technical projects across the client base — including client onboarding, migrations, infrastructure upgrades, hardware refreshes, and, critically, client offboarding — while providing a high level of client service through clear communication and detailed documentation.
This is a hands-on, technically fluent PM role. The right candidate is comfortable working alongside engineers, understands enough about IT infrastructure and vendor/technology transitions to plan and de-risk them, and treats client offboarding with the same rigor and structure as onboarding — ensuring every engagement closes out securely, completely, and on schedule.
Success in this role means technical projects (including offboards) are delivered on time, within budget, and with no loose ends — no orphaned access, no missed equipment, no unresolved data-transfer items.
Key Duties and Responsibilities
General Project Management
- Act as the primary liaison between the delivery/engineering team, the client, and internal stakeholders.
- Determine, clarify, and define project scope and communicate this effectively to all stakeholders.
- Develop, maintain, and manage a detailed project schedule, budget, and work plan using Jira (or equivalent PM tooling), with consistent, accurate, and comprehensive documentation.
- Track project hours and costs to meet budget and manage resourcing across multiple concurrent projects.
- Coordinate internal engineering resources and third-party vendors needed to reach project objectives.
- Manage changes to project scope, schedule, and cost using approved change-control processes, and consistently report changes and progress to stakeholders.
- Measure, document, and report project and resource performance using dashboards, status reports, and PM analytics.
Technical Project Delivery
- Plan and lead technical projects such as infrastructure upgrades, platform migrations, hardware refreshes, and software deployments across multiple client environments.
- Work directly with engineers (network, systems, cloud, Citrix, etc.) to translate technical scope into actionable project plans, timelines, and milestones.
- Understand enough of the underlying technology — networking, endpoints, cloud/on-prem infrastructure, licensing — to identify risks, dependencies, and sequencing issues before they cause delays.
- Coordinate hardware/software procurement, staging, and deployment logistics for refresh and migration projects.
- Maintain sufficient working knowledge of each client's technology stack to manage change windows, cutover plans, and rollback procedures.
Client Onboarding & Offboarding
- Own the client offboarding process end-to-end: coordinating secure return or decommissioning of hardware, revocation of access and credentials, data and knowledge transfer, and closeout documentation when an engagement ends.
- Build and maintain a standardized offboarding checklist/playbook to ensure every offboarding is complete, secure, and audit-ready.
- Partner with delivery, security, and account management teams to identify and mitigate risk during offboarding — data retention/deletion requirements, license reassignment, and outstanding assets or invoices.
- Lead technical onboarding of new clients in partnership with Solutions Engineers, ensuring a consistent, well-documented ramp-up experience.
- Serve as the point of accountability for offboarding timelines and sign-off, escalating blockers early.
Additional Responsibilities
- Mentor and support less experienced project coordinators and PMs.
- Participate in Project Implementation Reviews and Design Reviews to ensure project success.
- Maintain accurate, real-time timesheets and complete notes of client communications and troubleshooting.
- Stay current on relevant technology and PM trends, and alert stakeholders to changes that could affect active projects.
- Perform additional job duties as requested by management to contribute to the overall success of the organization.
Requirements
Required Skills and Abilities
- Excellent written and verbal communication skills, both client-facing and internal.
- Strong technical aptitude — comfortable learning and discussing infrastructure, endpoints, and cloud/on-prem systems well enough to plan and manage technical projects (hands-on engineering not required, but must speak the language).
- Demonstrated experience managing IT/technical projects such as migrations, hardware refreshes, onboarding, or offboarding in an MSP, IT services, or enterprise IT environment.
- Proven ownership of client or vendor offboarding/transition processes, including access revocation, asset recovery, and documentation.
- Proficient with project/task management tooling (Jira or similar) for planning, tracking, and reporting.
- Ability to build and enforce standardized processes and checklists (e.g., offboarding playbooks) across a team.
- Detail-oriented and highly organized, with the ability to manage logistical planning across multiple concurrent projects.
- Ability to adapt to changes in the work environment, manage competing demands, and deal with frequent change, delays, or unexpected events.
- Self-motivated, reliable, and able to thrive in a fast-paced, multi-client environment.
Education and Experience
- 3-5+ years of project management experience, ideally within a technology, MSP, or IT services environment.
- Demonstrated experience managing multiple concurrent technical projects — including offboarding/transitions — according to outlined scope, budget, and timeline.
- Hands-on experience with project management software and tools (Jira or similar) and reporting/dashboards.
- PMP, CAPM, Scrum Master, or similar project management certification is a plus.
- Prior experience in an MSP or multi-client technical services environment strongly preferred.
