The NATO Communication and Information Agency (NCIA) is responsible for providing secure and effective communications and information technology (IT) services to NATO's member countries and its partners. The agency was established in 2012 and is headquartered in Brussels, Belgium.
The NCIA provides a wide range of services, including:
- Cyber Security: The NCIA provides advanced cybersecurity solutions to protect NATO's communication networks and information systems against cyber threats.
- Command and Control Systems: The NCIA develops and maintains the systems used by NATO's military commanders to plan and execute operations.
- Satellite Communications: The NCIA provides satellite communications services to enable secure and reliable communications between NATO forces.

Assistance and Advisory Service (AAS)
The NATO Communications and Information Agency (NCI Agency) is NATO’s principal C3 capability deliverer and CIS service provider. It provides, maintains and defends the NATO enterprise-wide information technology infrastructure to enable Allies to consult together under Article IV, and, when required, stand together in the face of attack under Article V.
To provide these critical services, in the modern evolving dynamic environment the NCI Agency needs to build and maintain high performance-engaged workforce. The NCI Agency workforce strategically consists of three major categorise's: NATO International Civilians (NIC)'s, Military (Mil), and Interim Workforce Consultants (IWC)'s. The IWCs are a critical part of the overall NCI Agency workforce and make up approximately 15 percent of the total workforce.
IT Logistics & Asset Management Specialist

Role Background
The IT Logistics & Asset Management Specialist will provide logistics, warehouse, and asset management support for Communication and Information Systems (CIS) equipment at CSU Brussels.
The role manages the full lifecycle of CIS assets, including requisition, receipt, inspection, storage, distribution, transfer, inventory, movement, and disposal. The specialist will maintain accurate asset records, coordinate with technical and logistics teams, support warehouse operations, and ensure equipment is delivered to end users in accordance with applicable procedures and service standards.
Role Duties and Responsibilities
- Maintain accurate property and asset accounting records for CIS equipment.
- Manage CIS assets throughout their lifecycle, including:
- Requisition
- Receipt and inspection
- Labelling
- Storage
- Distribution and issuance
- Transfer and exchange
- Movement
- Disposal
- Maintain accurate information within the logistics management database.
- Support periodic and annual inventory inspections.
- Reconcile inventory records and investigate and resolve discrepancies.
- Monitor deliveries and shipments to and from the warehouse.
- Verify the quantity and quality of received equipment.
- Ensure equipment is correctly labelled, stored, and issued to end users.
- Coordinate with technical staff to ensure the correct CIS/ICT equipment is requested according to operational and user requirements.
- Work closely with the Logistics Section Head, logistics staff, warehouse personnel, and asset account holders.
- Ensure logistics activities comply with applicable procedures and Service Level Agreements (SLAs).
- Prepare and maintain logistics documentation, asset records, and reports.
- Monitor asset status and inventory activities.
- Process and document logistics and asset management transactions.
- Identify opportunities to improve logistics processes, asset accountability, and operational efficiency.
- Perform assigned activities independently with limited supervision.
- Support additional logistics activities as directed by the Logistics Section Head.
Essential Skills
- Strong knowledge of logistics and asset management processes.
- Understanding of asset acquisition procedures.
- Experience managing the lifecycle of ICT/CIS equipment.
- Practical experience with Oracle ERP Logistics and Asset Management modules.
- Ability to understand and advise on technical aspects of ICT equipment.
- Experience with inventory and asset accountability.
- Experience with warehouse operations, including receiving, inspection, labelling, storage, and equipment issuance.
- Ability to maintain accurate logistics and asset records.
- Experience processing and verifying administrative forms and documentation according to established procedures.
- Ability to coordinate effectively with technical, warehouse, and logistics teams.
- Good organizational and administrative skills.
- Ability to work independently with limited supervision.
Desirable Skills
- Experience with NATO resource management tools.
- Experience with Oracle Business Intelligence for Logistics and/or Microsoft Power BI.
- Microsoft Excel and SharePoint skills.
- Knowledge of NATO CIS asset regulations.
- Knowledge of NATO HQ local logistics regulations.
- Understanding of NATO's organization and responsibilities, including ACO and ACT.
- Experience working in an international environment with both military and civilian personnel.
Experience
Candidates must meet one of the following experience requirements:
- Higher vocational training in a relevant discipline + at least 2 years of relevant post-qualification experience, or
- Secondary education + at least 4 years of relevant post-qualification experience.
Relevant practical experience should include:
- Logistics and asset management.
- ICT/CIS equipment lifecycle management.
- Inventory and warehouse operations.
- Oracle ERP Logistics and Asset Management.
- Asset acquisition processes.
- Administrative processing of logistics documentation.
- Coordination with technical and logistics teams.
Educations and Certifications
Education
Candidates must have either:
- Higher vocational training in a relevant discipline, with at least 2 years of relevant experience,
OR
- Secondary education, with at least 4 years of relevant experience.
Additionally, vocational training in Supply, Logistics, or Supply Chain Management is required.

- Full-time on-site position.
- Physical on-site presence is required for most daily activities because of the warehouse and equipment-handling responsibilities.
