About the Role
An exciting opportunity has become available for an experienced Executive Assistant to join BDO's Advisory team. Supporting Partners, Directors and senior leaders, you will act as a trusted business partner, providing high-level executive, operational and stakeholder support that enables our leaders to focus on delivering exceptional outcomes for clients and teams.
About the Team
BDO Advisory partners with clients to solve complex business challenges and create long-term value through practical, commercially focused advice. Our teams work across a diverse range of service offerings, delivering strategic, operational, risk, financial and transformation solutions to organisations across Australia.
While your day-to-day focus will be supporting Advisory leaders, you'll also be part of a collaborative Corporate Services team, working alongside fellow Executive Assistants, Facilities and office support professionals. This connected team environment provides opportunities to share knowledge, support one another and contribute to an exceptional internal and client experience.
The Opportunity
As an Executive Assistant you will play a key role in creating leadership capacity, coordinating critical business activities, managing competing priorities and ensuring the seamless execution of client and internal initiatives.
Key responsibilities will include:
Providing administration support and assistance to the Advisory team to ensure smooth and efficient processes across the business.
Diary management for Partners and Directors, including scheduling appointments, resolving conflicts and ensuring priorities are effectively managed.
Preparing accurate client engagement documentation, and editing reports, presentations, briefing papers and other business-critical materials.
Supporting project set-up, workflow coordination and operational activities across client engagements.
Coordinating month-end billing processes, financial administration activities and reporting requirements.
Managing travel bookings and accommodation processes for Partners and team members
Coordinating team initiatives including meetings, training sessions, onboarding activities, employee movements and team events.
Maintaining client and project data, records and documentation with a high degree of accuracy and professionalism.
Supporting business improvement initiatives and wider Advisory team administration as required.
About You
You are a highly organised and proactive Executive Assistant who thrives in a fast-paced professional environment. Confident supporting senior leaders, you build strong relationships, bring structure to competing priorities and take pride in delivering exceptional support that helps teams and leaders perform at their best.
To succeed in this role, you will bring:
Significant experience operating in a similar role within a professional services or corporate environment
Proven experience supporting multiple leaders within a complex and fast-paced environment.
Exceptional organisational skills with the ability to manage competing priorities and deadlines with confidence.
Outstanding stakeholder management and relationship-building capabilities.
Advanced proficiency in Microsoft Office applications including Outlook, Word, PowerPoint and Excel.
Capability to adapt to new systems and software with experience using Dynamics 365 CRM and Workday PSA highly regarded.
Strong communication skills and the ability to produce professional, high-quality documentation.
A proactive, solutions-focused approach with the ability to anticipate requirements and work autonomously.
A collaborative approach and genuine passion for enabling leaders and teams to perform at their best.
