About the role:
The Servicing Deposit Administrator is responsible for providing administrative and operational support for registered
and non-registered deposit products, including Guaranteed Investment Certificates (GICs) and Savings Accounts. This
role ensures the accurate and timely processing of customer servicing requests while maintaining compliance with
regulatory requirements, internal policies, and service level standards.
The Servicing Deposit Administrator performs a variety of financial and non-financial account maintenance activities,
including renewals, beneficiary updates, banking changes, transfers, corrections, Power of Attorney (POA)
management, registered plan transactions, and other account servicing requests. The role requires a strong attention to
detail, excellent organizational skills, and a customer-focused approach to support both internal and external
stakeholders.
Working closely with various teams across the organization, the Servicing Deposit Administrator helps ensure client
information is maintained accurately, servicing requests are completed efficiently, and operational risks are minimized
through adherence to established procedures and controls. Please note that this is a temporary role for 6 months.
Key Responsibilities:
Account Servicing & Administration
Administer servicing transactions for registered (RIF, RSP, TFSA) and non-registered deposit products, including Guaranteed Investment Certificates (GICs) and Savings Accounts.
Process account maintenance requests accurately and within established service standards.
Review and update client information to support Know Your Customer (KYC) requirements and ensure account records remain accurate and up to date.
Complete renewals, re-registrations, ownership changes, rate changes, beneficiary and successor holder updates, and account corrections.
Support registered product servicing, including RRSP to RRIF conversions and other registered plan maintenance activities.
Manage Power of Attorney (POA) requests and maintain appropriate documentation and records.
Manage Commercial update requests and maintain appropriate documentation.
Process banking information updates and ensure all changes are verified and accurately reflected on client accounts.
Review documentation for completeness, accuracy, and compliance with regulatory and internal requirements.
Client & Broker Support
Respond to inquiries from clients, brokers, advisors, and internal stakeholders in a professional and timely manner.
Research and resolve servicing issues, escalations, and account discrepancies.
Provide exceptional service while ensuring all requests are handled efficiently and accurately.
Communicate effectively with internal departments to facilitate the resolution of complex client inquiries.
Operational Processing
Manage and prioritize requests received through designated servicing inboxes.
Perform financial adjustments and non-financial account maintenance activities to meet customer needs and business objectives.
Generate, print, and distribute client correspondence, letters, statements, tax slips, and other account-related documentation.
Maintain accurate records and audit trails for all servicing transactions.
Ensure all assigned tasks are completed within established service level agreements (SLAs).
Compliance & Risk Management
Ensure all transactions comply with company policies, procedures, and regulatory requirements.
Protect the confidentiality and security of client information.
Identify and escalate potential risks, exceptions, and operational issues as required.
Support quality control reviews, audits, and regulatory reporting requirements.
Continuous Improvement & Team Support
Contribute to process improvement initiatives that enhance efficiency, accuracy, and the client experience.
Assist in maintaining procedures, job aids, and operational documentation.
Participate in system testing, projects, and departmental initiatives.
Support the onboarding, training, and cross-training of team members.
Provide backup coverage across operational functions as required.
Promote a collaborative team environment by sharing knowledge, best practices, and continuous improvement ideas.
What we’re looking for:
Formal Education:
• Post-secondary degree or diploma in a related area or discipline (university an asset)
• Additional relevant accreditation(s), certification(s) are assets
Related Experience:
• 2 years (Senior 4-6 years) related experience
• Demonstrated administration within finance or compliance
Skills Required:
• Solution-focused who takes initiative, ensuring self and teamwork effectively within established guidelines
• Detail oriented, strong organizational, time-management and analysis skills
• Able to multi-task and flourish in a fast-paced, deadline-driven work environment
• Excellent written and oral communication skills

What you can expect - pay & process:
Expected base salary range is $50,000- $55,000 .
