Job Role: Admin & Estimating Support Coordinator
Work Schedule: Monday to Friday, aligned with Australian business hours
Compensation range: $1,200 - $1,800 AUD / Monthly (before tax and deductions)

Who The Client Is: Our client is an established Australian industrial services business supporting organisations that rely on specialised lifting and material-handling equipment. They provide ongoing technical, maintenance, inspection, and repair support, with a strong focus on safety, compliance, equipment reliability, accurate documentation, and responsive service across a range of operational environments.
Role Overview: Our client is looking for an organised and detail-oriented Admin & Estimating Support Coordinator to support their operations team across administration, estimating and quoting, supplier coordination, and general operational support. This role is suited to someone who is comfortable reviewing detailed information, managing competing priorities, taking ownership of tasks, and communicating proactively with the wider team to ensure work is completed accurately and on time.
Key Responsibilities:
- Review service reports and identify items requiring quotation
- Build quote information, including repair/service descriptions and applicable pricing
- Obtain supplier quotes and pricing for required parts, materials, or services
- Prepare and maintain accurate quotes and supporting documentation
- Catalogue items and assist with category creation and management
- Maintain operational records, registers, and compliance-related documentation
- Update spreadsheets used for registers, scheduling, and operational tracking
- Support asset management and general administrative requirements
- Manage competing priorities based on client requirements, KPI commitments, and operational deadlines
- Communicate proactively with the wider team regarding progress, outstanding information, issues, and potential delays
- Take ownership of assigned tasks and follow them through to completion
Requirements
- Previous experience in industrial administration, estimating, quantity surveying, quoting, service coordination, procurement, or a similar operations-focused role
- Experience reviewing reports or technical documentation and translating information into clear, accurate quotes or work requirements
- Strong attention to detail and the ability to work accurately across quotes, registers, spreadsheets, and supporting documentation
- Experience obtaining supplier pricing and evaluating supplier information would be advantageous
- Strong organisational and time-management skills, with the ability to manage conflicting priorities
- Excellent written and verbal English communication skills, with a proactive approach to raising questions, sharing updates, and keeping relevant team members informed
- Strong task ownership and the ability to work autonomously with minimal supervision
- Comfortable working within structured administrative, compliance, and documentation processes
- Experience with asset management, category management, or catalogue creation would be advantageous
- Proficiency with Microsoft Word and Excel; experience with PowerPoint is also desirable
- Experience with SimPro, iAuditor, Core Inspection, and/or Aconex would be beneficial but is not essential
