About the Role

We're seeking a reliable, patient-focused Virtual Medical Assistant to manage front desk operations for a busy, patient-centered primary care practice. This practice takes a whole-person approach to care — meaning patients often need extra time, clear communication, and a front desk experience that feels as attentive as the care itself.

This is a high-volume role: you'll be the first voice patients hear, managing calls, scheduling, and administrative workflows that keep the practice running smoothly. Clear, professional spoken English and a calm, organized phone presence are essential.

Core Responsibilities

• Manage high-volume inbound/outbound patient calls; schedule, reschedule, and confirm appointments
• Manage provider calendars, send reminders/confirmations, and handle cancellations
• Update patient demographics and maintain accurate, compliant records in the EHR
• Document call notes and patient interactions
• Support intake, onboarding, and general front desk administrative tasks

Requirements

Required Qualifications

• 2+ years supporting a U.S.-based medical practice (Medical Receptionist, Front Desk Coordinator, or Virtual Medical Assistant)
• Prior experience in a primary care setting is strongly preferred — primary care front desk work involves a different pace, patient mix, and coordination style than specialty practices, and this distinction matters for this role
• Very clear, professional spoken English with strong phone presence
• Strong multitasking and organizational skills; calm and steady under high call volume

Preferred Qualifications

• Experience with Elation EHR and/or Athena Health
• Familiarity with outpatient clinic workflows and scheduling systems
• Basic medical terminology knowledge
