We are looking for a detail-oriented Recruitment Coordinator to support our Talent Acquisition team across interview scheduling, candidate coordination and HR/recruitment operations. The ideal candidate will have hands-on experience managing high-volume interview scheduling, working with ATS platform and coordinating with candidates, recruiters, hiring managers, and interview panels.

About the role

Key Responsibilities

• Manage end-to-end interview scheduling across multiple interviewers, candidates, and time zones.

• Coordinate interview calendars, reschedules, cancellations, and last-minute changes.

• Partner closely with recruiters and hiring managers to ensure a smooth and timely interview process.

• Communicate interview details, instructions, and updates clearly to candidates.

• Manage candidate information and interview stages accurately within the ATS.

• Work with ATS platforms such as Workday (preferred), Greenhouse, or other recruitment systems.

• Maintain accurate recruitment trackers, reports, and candidate records.

• Support recruitment operations including offer coordination, onboarding activities, background verification, and documentation.

• Ensure a positive candidate experience throughout the recruitment process.

• Identify scheduling conflicts and proactively resolve issues to avoid delays.

• Support HR/Talent Acquisition teams with other operational and administrative activities as required.

• Maintain confidentiality of candidate and employee information.

This role has been categorized as an Office position. “Office” employees regularly work at the Zillow India office for approximately 80 to 100 percent of their time each month. Employees must live within a reasonable commuting distance of the office. Zillow has not defined a reasonable distance, and expects employees will use judgment in determining this for themselves and understand the implications re: time commitment and cost of daily commute.

In addition to a competitive base pay, employees in this role are eligible for incentive compensation subject to applicable laws and relevant Zillow policies. Actual amounts will vary depending on experience, performance and location.

Who you are

Required Qualifications & Experience

• 2–4 years of experience in Recruitment Coordination, Talent Acquisition Operations, HR Operations, or a similar role.

• Hands-on experience with interview scheduling and candidate coordination.

• Experience working with an ATS such as Workday

• Experience coordinating with multiple stakeholders, including recruiters, hiring managers, interviewers, and candidates.

• Strong organizational and time-management skills with the ability to manage multiple priorities.

• Good written and verbal communication skills.

• Strong attention to detail and ability to maintain accurate records.

• Comfortable working with multiple time zones, including US/India time zones.

• Proficiency in MS Office/Google Workspace, particularly Excel/Google Sheets and calendar management tools.

Good to Have

• Experience supporting high-volume technical hiring.

• Experience with recruitment scheduling tools such as Paradox or similar platforms.

• Exposure to HR operations, onboarding, background verification, and offer management.

• Experience working with global or distributed teams.

• Experience in a fast-paced corporate or technology environment.
