The role
You will own payroll and the full employee lifecycle for our Manila team. Today that is around 50 people across two entities, paid semi-monthly, and the number is rising.
This is a hands-on, single-contributor role. You will be the person the team comes to about their payslip, their leave balance, their government contributions and their first week. You will also be the person who makes sure every statutory deadline is met, every time.
What you will do
Payroll
Prepare the payroll computation for both cutoffs (15th and end of month) across both entities, including salary adjustments, overtime and holiday work, bonuses, absences and other deductions
Prepare the payroll file for upload to Metrobank MBOS and advise the team on crediting
Prepare and issue payslips
Compute 13th month pay
Verify employee government IDs and keep records complete
Respond to payroll queries from the team, escalating where needed
Statutory compliance (payroll)
Prepare and file BIR Form 1601-C (monthly) and 1604-C (annual)
Prepare and remit SSS contributions and loans, PhilHealth contributions, and Pag-IBIG contributions and loans, on schedule every month
Keep the business current with changes to contribution tables, tax rules and reporting requirements, and tell us before they bite
Hiring
Agree hiring requirements with the Head of Operations
Carry out initial screening and move qualified candidates into the hiring portal
Coordinate interviews and debriefs with hiring managers
Onboarding
Run the pre-onboarding call, office address, what to expect on day one, answer questions
Confirm everything is ready before day one: GetGround email, laptop, Codac access, VPN, CharlieHR, Slack, company ID
Run the day one office tour, team introductions, and the policy and company induction
Secure the new joiner's BIR TIN, wifi access and biometrics
Schedule onboarding training with the relevant supervisor and hand over laptop and ID
Track progress and feedback from team leaders through the first weeks
Employee experience
Maintain accurate employee records in CharlieHR
Administer leave and off-day requests (MHD, holidays, WFH, compassionate) once approved by the line manager
Coordinate monthly Friday Wind Down, TPSLG sessions and office refreshments
Plan and run quarterly team building, the year-end party, and special events.
Offboarding
Prepare final pay within 30 days of resignation: pro-rated 13th month, tax refund or additional tax payable, leave conversion and any other adjustments
Prepare the Certificate of Employment, BIR Form 2316 and Release Form, and manage sign-off with the leaver
Recover company equipment on handover
Office administration
Monitor laptop condition and coordinate replacements and software renewals with our vendor
Act as the point of contact for the office space administrator
What we are looking for
Essential
Degree in Accountancy, Business Administration or Management.
Three or more years running payroll in the Philippines, end to end and unsupervised
Strong working knowledge of BIR withholding on compensation, SSS, PhilHealth and Pag-IBIG, you have filed and remitted these yourself, not just prepared the schedules
Experience with online banking payroll upload (Metrobank MBOS or equivalent) and eGov / Bancnet or the SSS, PhilHealth and Pag-IBIG employer portals
Experience across the wider HR lifecycle: recruitment coordination, onboarding, employee records, offboarding and final pay
Highly accurate with numbers and deadlines. Payroll is right or it is wrong, and it cannot be late
Absolute discretion with confidential salary and personal information
Clear written and spoken English, you will work daily with colleagues in the UK
