Job Role: Client Services Coordinator

Compensation range: $1,500 AUD - $2,000AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule:  This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: A growing Australian accounting and advisory firm based on the Sunshine Coast, working with small and medium Australian businesses.

The offshore team already includes accountants working across SMSF and compliance. This role is being created to provide dedicated client services and administrative support, and to be the reliable engine room that keeps client communication and workflow moving.

Role Overview: This role covers client services, practice administration, ATO and ASIC work, and helping keep inboxes and workflow under control.

It is a support role with real client contact. You will be drafting the emails clients actually read, chasing the information the accountants need, and making sure nothing sits.

Key Responsibilities: 

What You’ll Be Doing

ATO & Compliance Support

• Initial job preparation for all year end compliance work
• Pulling income tax and activity statement reports, and other supporting data from the ATO portal for the offshore accounting team
• Preparing and lodging ASIC and company secretarial work through NowInfinity — annual statements, changes to company details, officeholder changes, and share changes
• Keeping compliance deadlines and lodgement dates tracked and visible in Trello

Client Communication

• Drafting client emails for review, including copies of lodged returns, and ATO account balances
• Independently handling ATO correspondence such as notices of assessment, statement of accounts and other notices
• Following up clients for outstanding information
• Being a warm, clear first point of contact

Job Completion & Document Flow

• Building e-signature packs at the end of each job and issuing them to clients
• Chasing signatures through to completion
• Filing and maintaining client documents in Box

Team Support

• Supporting the offshore accountants and onshore team with whatever keeps jobs moving
• Maintaining process documentation in Notion

Bookkeeping (Highly Regarded)

• Bank reconciliations, coding and BAS preparation where you have the skills

Requirements

What We’re Looking For

Must Have

• 2–3+ years’ experience in an Australian accounting firm or an Australian-facing accounting support role
• Excellent written and spoken English
• Confidence working with the ATO portal and understanding Australian compliance rhythms (BAS, IAS, lodgement cycles)
• Strong Xero skills
• Organised and comfortable working autonomously across time zones, and asking questions early rather than guessing

Nice to Have

• Bookkeeping experience (bank reconciliations, payroll, BAS preparation)
• ASIC and company secretarial exposure, ideally using NowInfinity
• Xero Practice Manager (XPM), BGL, or Class experience
• Experience supporting a distributed or offshore team
