About the Role

We are looking for an organized and detail-oriented Service Administrator, Field Service Operations to join our Edmonton team on a 7x7 schedule.

In this role, you will provide administrative support throughout the service process, with a strong focus on accurate time entry, work order administration, invoicing, and supporting our Customer Service Advisors. You will play an important part in keeping service operations organized, accurate, and moving efficiently from work order opening through to customer invoicing.

Job Description:


What You'll Do


  • Complete accurate daily time entry for hourly employees within the Service Department.
  • Support Customer Service Advisors with the service process and customer communication.
  • Open maintenance customer orders and ensure information is entered accurately.
  • Prepare and send invoices to customers for completed work.
  • Monitor open-to-invoice timelines and the average age of timecard entries.
  • Accurately and promptly code accounts payable, expense reports, timesheets, attendance records, and vacation time.
  • Complete National Safety Code log submissions accurately and on time.
  • Support the Service Work in Progress (SWIP) process and identify aging work orders requiring attention.
  • Track branch near-miss and incident reporting.
  • Assist with other administrative requirements that support efficient Field Service operations.

  • Able to manage multiple responsibilities in a busy service environment.

Knowledge & Experience


The successful candidate will have, or be able to develop, an understanding of:

  • PI/PS letters and the appropriate processes associated with them.
  • Service Work in Progress (SWIP) management.
  • Policies and procedures related to the Service Department.
  • CAT, Non-CAT, and warranty work types.
  • Collective agreement requirements as they relate to time entry, expense reports, and meal allowances.

Education


  • Grade 12 education or equivalent is required.
  • Post-secondary education in business administration or a related discipline is considered an asset.

You'll be an important part of the Field Service team, helping ensure our technicians, advisors, customers, and service operations are supported through accurate and timely administration.
