What this job involves:
JLL is seeking a dynamic Senior Facilities Manager to oversee a nation-wide marketing client. There are 5 offices downtown Toronto with a flagship location at 33 Bloor Street (moving to 25 Ontario Street in new year) and other sites across Canada. This newly elevated role goes beyond traditional facilities management—we are building a high-performing team to deliver white-glove service across 300,000 square feet of premium workspace. You'll lead this team in day to day operations, partner with our soft services vendor, and work with a client who values excellence. The ideal candidate brings high energy, executive presence, and exceptional communication skills to create seamless workplace experiences from end to end.
This role is on-site downtown Toronto at the flagship office but will travel to the nearby sites (within walking distance) as well as visit the Montreal site (1/4ly approx.) and other sites as needed.
What your day-to-day will look like:
Facilities Operations
- Oversee day-to-day facilities operations across multiple office locations throughout Canada.
- Ensure all sites are maintained to high operational, safety, and appearance standards.
- Manage preventive maintenance programs and coordinate corrective maintenance activities.
- Support office moves, expansions, renovations, and workplace projects as required.
- Monitor building systems including HVAC, electrical, plumbing, fire/life safety, and security systems.
Vendor and Contract Management
- Manage third-party service providers including janitorial, maintenance, security, and other facilities vendors.
- Lead vendor selection, contract negotiations, service level management, and performance reviews.
- Ensure vendors comply with company policies, safety requirements, and regulatory standards.
Financial Management
- Develop and manage operating budgets for multiple facilities.
- Review and approve invoices, monitor expenses, and identify cost-saving opportunities.
- Prepare financial forecasts and support annual budget planning processes.
Health, Safety, and Compliance
- Ensure compliance with applicable health, safety, environmental, and building regulations.
- Lead emergency preparedness and business continuity planning for assigned locations.
- Conduct regular site inspections and risk assessments.
- Support incident management and corrective action follow-up.
Stakeholder and Workplace Management
- Serve as the primary facilities contact for employees, business leaders, landlords, and vendors.
- Partner with workplace, HR, IT, and project teams to support workplace initiatives and employee experience programs.
- Respond to escalations and resolve facilities-related issues in a timely and professional manner.
Leadership and Reporting
- Provide leadership and guidance to facilities staff and onsite teams where applicable.
- Track and report key operational metrics, service performance, and project updates.
- Drive continuous improvement initiatives across the portfolio.
Required Qualifications:
- 7+ years of facilities management experience, including responsibility for multiple sites or a regional portfolio.
- Strong leadership and team management skills
- Strong knowledge of commercial building operations and facilities best practices.
- Experience managing budgets, vendors, and service contracts.
- Familiarity with workplace health and safety regulations in Ontario and Quebec is considered an asset.
- Proficiency with Microsoft Office and facilities management systems (CMMS/IWMS platforms).
- Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field preferred.
- Able to travel to other sites in Canada (25%)
- Professional designation such as FMP, CFM, RPA, or similar is considered an asset.
Estimated compensation for this position:
This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
