Position Summary

The Receptionist serves as the first point of contact for customers, vendors, field technicians, and visitors, providing professional and courteous service while supporting daily administrative and operational activities. This position is responsible for managing incoming calls, coordinating information, maintaining accurate records, assisting with purchasing and billing documentation, and supporting scheduling and field-service operations.

Key Responsibilities

Call Management & Customer Support

  • Answer incoming phone calls promptly and courteously, providing a professional first point of contact.

  • Assess caller needs and route calls to the appropriate department or team member.

  • Document call details when follow‑up actions are required.

Purchase Order Processing

  • Enter and maintain purchase orders (POs) accurately in the system.

  • Verify all documentation, pricing, and vendor information before submission.

  • Monitor pending POs and communicate with vendors or internal teams as needed.

Qualifications

  • Previous receptionist, administrative, customer service, or office experience preferred.

  • Excellent verbal and written communication skills.

  • Professional, friendly, and courteous demeanor.

  • Strong organizational skills and attention to detail.

  • Ability to manage multiple tasks and priorities in a fast-paced office environment.

  • Strong computer, email, data-entry, and recordkeeping skills.

  • Ability to maintain accurate and confidential records.

  • Reliable, dependable, and committed to providing excellent customer service.

  • Ability to work independently while also functioning effectively as part of a team.
