JOB SUMMARY

The Program Coordinator III (Year 2) provides administrative and operational support for Year 2 medical school courses and related academic programs. This position coordinates academic operations, supports faculty and students, manages course materials and evaluations, maintains curricular systems, and provides administrative support for committees and governance processes. The position serves as a key liaison among faculty, students, academic leadership, and institutional systems to ensure efficient and compliant program operations.


PRIMARY JOB RESPONSIBILITIES

  • Provides centralized administrative oversight for all Year 2 courses and ensures syllabi, schedules, examinations, and instructional materials are accurate, timely, and compliant with institutional and accreditation requirements
  • Serves as the primary operational liaison between course directors, faculty, students, and curricular systems including OASIS and ExamSoft
  • Coordinates room scheduling, examination preparation and proctoring, post-examination processing, academic calendar maintenance, and curricular website updates
  • Manages course and faculty evaluations and prepares and distributes evaluation reports to faculty and department leadership
  • Provides administrative support for the Preclinical Subcommittee, Program Evaluation and Assessment Subcommittee, and other committees as assigned
  • Schedules evaluation meetings, secures meeting space, coordinates catering, and assists with meeting setup and cleanup activities
  • Provides complex administrative support by coordinating meetings and appointments, researching and compiling information, preparing reports and correspondence, and arranging travel accommodations
  • Assists in planning and implementing programs, projects, activities, and services and may independently coordinate assigned initiatives
  • Compiles and develops budgets; monitors expenditures; processes invoices, payroll, and account reconciliations; and prepares financial reports as assigned
  • Attends meetings and provides administrative and clerical support to committees, commissions, and task forces as required
  • Establishes and maintains recordkeeping systems and supports implementation of information technology systems within assigned areas
  • Provides front-office support for students, faculty, staff, and visitors and assists faculty with instructional technologies including Panopto and audience response systems
  • Handles confidential information and sensitive records using discretion and sound judgment
  • May supervise, train, and delegate work to clerical staff and coordinate employee training activities
  • Performs general office functions including ordering supplies, maintaining records, and performing basic bookkeeping activities
  • Performs other duties as assigned

  • Knowledge of administrative and clerical procedures, office systems, records management, and business practices
  • Knowledge of customer service principles and processes, including customer needs assessment and service quality standards
  • Knowledge of interpersonal techniques utilizing tact, patience, and professionalism
  • Strong verbal and written communication skills
  • Knowledge of English grammar, spelling, punctuation, and business correspondence standards
  • Proficiency with computers, assigned software applications, and office technologies
  • Ability to provide support and technical assistance to internal and external stakeholders
  • Ability to maintain accurate and confidential records and files
  • Ability to meet deadlines and manage multiple priorities
  • Ability to establish and maintain effective working relationships with diverse groups
  • Ability to work independently with minimal supervision
  • Ability to conduct research and compile reports
  • Ability to maintain confidentiality of sensitive and privileged information
  • Ability to analyze situations and implement effective solutions
  • Ability to maintain consistent, punctual, and reliable attendance

MINIMUM QUALIFICATIONS

  • High school diploma
  • Five years of relevant administrative, program coordination, or office support experience
