JOB PURPOSE:
The purpose of this position is to provide programmatic support for the daily operations of the Clinical Law Center and all programs, faculty, adjunct faculty, staff and supervising attorneys of the Clinical Law Center. Such programmatic support involves considerable responsibility, complexity and variety.
SUPERVISORY AUTHORITY:
This position does not have any direct reports.
NATURE AND SCOPE:
Internal contacts include administrators, faculty, staff and students in the School of Law and other University departments. External contacts include government officials and a myriad of law affiliated institutions, agencies, and organizations, vendors, clinic clients, alumni, sponsor representatives, visitors and the general public.
PRINCIPAL ACCOUNTABILITIES:
- Provide programmatic and administrative support for Clinical Law Center faculty, staff, and students for Clinical Law Center-related activities.
- Support the legal operations of the Clinical Law Center by managing electronic files, assisting with conflicts checks, generating reports and performing other related duties.
- Support the academic operations of the Clinical Law Center’s academic programming by planning and executing open houses, assisting with enrollment management, managing internal and external communications and providing administrative and programmatic assistance to each clinic.
- Coordinate all administrative and programmatic details for Clinical Law Center events including, but not limited to, open houses, orientations, guest speakers, symposia, special events, and outreach activities. Plan menus and order food for such events.
- Plan and lead training for students on intake and client management software.
- Manage all front-office operations, including intake, procurement, event planning and other administrative and programmatic duties.
- Process all Clinical Law Center applications and communicate as appropriate with the Records Office and the Office of Student Affairs.
- Process all student bar card applications; collect applications, verify completion; coordinate with Office of Student Affairs for certification; deliver applications to the Court of Appeals; and ensure that bar cards are received in a timely fashion.
- Maintain and manage a database of Clinical Law Center students and former students.
- Create and maintain clinical files, forms, and reports; develop and maintain confidential filing systems; assist in ensuring compliance with relevant laws and regulations related to client confidentiality.
- Process receipts and reimbursements for Clinical Law Center faculty and staff.
- Monitor office space requirements; oversee physical plant maintenance requests.
- Prepare external communications as assigned; assist with updating the website and managing the Clinical Law Center’s online presence as assigned.
- Manage the file room for all clinical programs, including purging files in accordance with relevant laws and regulations.
- Verify and respond to requests for student employment dates in the Clinical Law Center.
- Work with the Clinic Director, Assistant Director and the Associate Deans for Administration and Academic Affairs, and other law school and university administrators to develop systems, procedures, policies and programs that ensure the maintenance and growth of a viable, visible, dynamic and nationally recognized law school clinical program.
- Perform special projects and other duties as assigned by Director or Assistant Director of the Clinical Law Center.

MINIMUM REQUIREMENTS:
Bachelor’s degree required. Paralegal degree and experience in a legal environment preferred. Experience in a programmatic or administrative position is also preferred.
