Job Description:

Role Overview

TD Asset Management Japan is seeking an experienced Office Manager to support the ongoing growth and day-to-day operations of our Japan office.

This is a broad, hands-on role combining office management, facilities coordination, administration, employee support, vendor management and business support responsibilities. As part of a growing office, the successful candidate will be someone who enjoys variety, takes ownership, and is willing to step outside traditional role boundaries to help the team succeed. We are looking for a proactive team player who can adapt to evolving business needs and serve as a trusted point of contact for both employees and external stakeholders. This role is best suited to an individual who is flexible, collaborative and willing to contribute across a broad range of responsibilities as the Japan office continues to grow and evolve.

 

Key Responsibilities

  • Manage the day-to-day operations of the Japan office, ensuring a professional, efficient and well-functioning workplace.
  • Coordinate office facilities, supplies, occupancy matters, access controls, visitor management and relationships with building management.
  • Manage relationships with external vendors and service providers, including administrative, facilities and office-related contracts.
  • Coordinate business travel arrangements, expense administration and related insurance processes in accordance with company policies.
  • Support employee onboarding and offboarding activities and liaise with internal stakeholders on employee-related administrative matters.
  • Coordinate meetings, business visits, presentations and office events.
  • Maintain office records, company documentation, invoices, contracts and other administrative processes.
  • Support mail handling, courier services, office inventory management and general office administration.
  • Provide administrative and operational support to business teams, including Front Office stakeholders, as required.
  • Assist with office initiatives, projects and ad hoc activities that support the continued growth of the Japan business.
  • Foster a collaborative environment and demonstrate flexibility in supporting the broader team wherever needed.

 

Qualifications & Experience

  • Prior experience in office management, administration, executive support, facilities management or a similar role.
  • Strong organizational and multitasking skills with the ability to manage competing priorities independently.
  • Experience coordinating with vendors, building management, external service providers and internal stakeholders.
  • Strong attention to detail and ability to handle confidential information professionally and discreetly.
  • Excellent communication and interpersonal skills.
  • Native or business-fluent Japanese and strong English language proficiency.
  • Proficiency in Microsoft Office applications.
  • Demonstrated ability to work in a dynamic environment with a hands-on, service-oriented mindset.
  • Experience within financial services, asset management or a corporate environment is preferred.
  • Enjoys taking ownership, solving problems, supporting colleagues and helping build a positive workplace culture
