As an Office Assistant in Global Offices team, you play a key role in supporting the smooth day-to-day operations of the CIP office. As well as the Office Assistant collaborates with various internal teams at CIP, including Investment Teams, Capital Formation, Finance, Legal, IT, and People & Culture, and contributes to creating an efficient and professional office environment that supports CIP’s global collaboration and investment activities through this role.
Role
As our new Office Assistant (OA) -fixed term , you will be responsible for supporting the Office Manager with various office-related tasks. You will serve the growing onsite team and external visitors, managing responsibilities such as maintaining common areas, coordinating with vendors, handling administrative duties, supporting employee travel arrangements, and assisting in organizing company events. Additionally, you will provide administrative support to senior management and assist with employee onboarding and offboarding processes.
Responsibilities will consist of, but are not limited to:
- General Administrative Support: Provide comprehensive assistance to the Office Manager in all administrative functions, including filing, copying, data entry, and document management. Perform various ad-hoc administrative tasks to support management and employees as needed.
- Facility and Maintenance Management: Oversee the upkeep of shared spaces such as meeting rooms and pantry areas. Coordinate maintenance, safety checks, and vendor services to ensure a well-functioning office environment.
- Coordinate with vendors and service providers to address office-related needs
- Guest and Event Coordination: Manage external guest procedures, including conference room setup, liaising with building security, and welcoming guests upon arrival. Facilitate the organization of company events, meetings, and training sessions
- Travel Assistance: Assist with employee travel arrangements and hotel bookings
- Senior Management Support: Provide administrative assistance to senior management and contribute to the implementation and monitoring of company policies and procedures
You
We’re looking for a motivated and collaborative professional with a bachelor’s degree in Business Administration, Management, or a related field. Candidates with 1-2 years of relevant administrative experience are preferred, ideally within a multinational corporate environment.
We look for the following skills in a candidate:
- Solid understanding of office management systems and procedures
- Advanced skills in MS Office applications (Word, Excel, PowerPoint)
- Proficiency in both spoken and written Korean and English
- Solid time management skills, capable of managing several tasks at once and prioritizing effectively
- Effective communication and interpersonal skills, demonstrating reliability and a service-oriented mindset
- Motivated professional who cooperates effectively with colleagues and can work independently
