Job Role: Marketing & Operations Coordinator

Compensation range: $2,500 AUD - $3,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: Our company is seeking a Marketing & Operations Coordinator to work directly with the Director. Marketing execution is a core, non-negotiable part of this role, not a side task to admin and CRM work. The right person will be the reason our company’s marketing actually happens consistently, by driving the process end-to-end: extracting content from a busy Director, shaping it, and getting it into market on a disciplined schedule.

Strategic positioning and written commentary stay with the Director through the first six months. This person owns making sure that output exists, is polished, and ships on time, then begins originating first-pass content on defined, recurring formats as competency is demonstrated (see Progression Milestones below).

Beyond marketing, the role covers executive support and operational systems work, including CRM (HubSpot) management.

This role is structured in two tiers. Core responsibilities are expected from day one. Growth responsibilities are areas of increasing autonomy, sequenced against the milestones below as trust and capability are demonstrated, not assigned on a vague timeline.

Key Responsibilities: 

Marketing - Core Responsibilities:

  • Translate the Director's marketing direction into a structured, written marketing plan, covering channels, content pillars, cadence, target audiences, and success metrics
  • Build and maintain the content calendar against that plan, sequencing topics and formats over weeks/months rather than ad hoc posting
  • Proactively chase, prompt, and interview the Director to extract content needed to execute the plan
  • Edit, format, and polish raw material (voice notes, bullet points, rough drafts) into publish-ready content
  • Track engagement and performance against the plan, and report back on what's working
  • Maintain visual brand consistency across templates, decks, and client-facing materials

Marketing - Growth Responsibilities: 

  • Propose refinements to the marketing plan based on performance data and market observation
  • Contribute ideas on positioning, messaging, and content angles as familiarity with the business builds
  • Identify new marketing initiatives or channels (events, partnerships, webinars) for the Director's consideration
  • Draft first-pass content on defined recurring formats (e.g. RBA rate commentary, deal recap structures) for the Director's edit, reducing origination load over time

Operations & Systems - Core Responsibilities: 

  • Manage the Director's calendar, inbox triage, and meeting coordination
  • Maintain structured task and project tracking across active mandates
  • Enter, clean, and maintain accurate data in HubSpot
  • Conduct a first-pass audit of existing HubSpot workflows and present findings and recommendations to the Director (see Progression Milestones)

Operations & Systems - Growth Opportunities: 

  • Lead the redesign and implementation of HubSpot workflows to improve efficiency and reporting, with the Director's sign-off
  • Own structured reporting cadences (pipeline, engagement, mandate status) without prompting.

Requirements

Required Skills and Qualifications:

  • Demonstrated experience driving a content calendar or marketing process end-to-end
  • Prior experience in or adjacent to financial services or professional services content (required, not preferred) — e.g. wealth management, fund administration, IR, B2B professional services marketing
  • Strong organisational discipline; proven ability to chase others for deliverables and meet deadlines
  • Sharp written English in a professional/financial register, with an eye for formatting, design consistency, and tone (this is not blog or lifestyle-content experience)
  • CRM experience essential; HubSpot specifically strongly preferred
  • Comfortable working independently with minimal supervision
  • Highly Desirable: 
  • Independent copywriting or content creation experience, particularly in a B2B or financial context (signals faster growth-tier readiness)
  • Prior experience supporting senior leadership in a founder-led or small-team business
  • Exposure to HubSpot workflow architecture specifically (custom properties, automation builder, reporting)
  • Personal Attributes: 
  • Proactive to the point of being mildly relentless about deadlines; this role doesn't work if the person waits to be told
  • High ownership; treats growth-tier responsibilities, not wait to be assigned
  • Strong attention to detail

This is a remote role that will be set up as an independent contractor engagement.
