Position Overview
- Advantmed is seeking a highly organized, proactive, and detail-oriented Marketing Associate to support the execution of marketing initiatives across RFPs, digital marketing, sales enablement, trade shows and events, and marketing operations.
- This role will independently manage projects from planning through completion and work closely with Marketing, Sales, Product, Client Success, and other cross-functional teams to execute high-quality marketing programs. The ideal candidate is a strong project manager and communicator who can manage multiple priorities, proactively identify next steps, meet deadlines, and produce polished, accurate, and on-brand work.
Key Responsibilities
RFP & Proposal Management
- Lead the end-to-end RFP and proposal process, including requirements review, project timelines, SME coordination, stakeholder deliverables, content development, approvals, and submission, proactively managing follow-up to ensure proposals are completed accurately, efficiently, and on schedule.
- Draft, edit, and format proposal content to ensure clarity, consistency, accuracy, and alignment with Advantmed messaging and brand standards.
- Maintain and improve RFP content libraries, reusable responses, supporting materials, and proposal processes.
Digital Marketing & Sales Enablement
- Develop, update, and maintain sales and marketing materials, including pitch decks, presentations, solution overviews, one-pagers, sales proposals, digital advertising, and other sales enablement assets, ensuring content is accurate, polished, audience-appropriate, and aligned with Advantmed brand standards.
- Support the execution of digital marketing campaigns across email, LinkedIn, website, and other digital channels, including drafting copy, coordinating audiences, managing deployments, tracking performance, and managing projects from initial brief through final delivery.
- Manage day-to-day website updates in partnership with the external website agency, coordinating requests, timelines, deliverables, revisions, internal approvals, and quality control.
Trade Shows & Events
- Support the planning and execution of trade shows, conferences, sponsorships, hosted events, and other marketing events, including timelines, registrations, deliverables, logistics, meeting schedules, and post-event follow-up.
- Coordinate event logistics and materials, including booth materials, collateral, shipping, attendee communications, hosted events, and coordination with Sales and internal stakeholders. Manage event vendors and external partners, including booth and AV vendors, shipping and promotional vendors and other suppliers.
- Track event budgets and expenses, coordinate vendor quotes and invoices, maintain organized event documentation, and provide post-event reporting on attendance, meetings, engagement, and outcomes.
Marketing Operations & Reporting
- Own weekly marketing reporting, including tracking marketing activity, project status, campaigns, events, and key updates for internal stakeholders.
- Maintain marketing calendars, project trackers, campaign schedules, event timelines, and other operational tools to keep priorities and deliverables on track.
- Track marketing budgets, expenses, invoices, and vendor costs and proactively identify and communicate potential variances or issues.
Reporting Structure
The Marketing Associate will report to the Director of Marketing and will work cross-functionally with Sales, Product, Client Success, Solutions, and other internal teams.
Requirements
Qualifications
- Bachelor's degree in Marketing, Communications, Business, or a related field preferred.
- 2-4 years of experience in marketing, preferably in B2B, healthcare, health technology, SaaS, or a related environment.
- Experience with RFPs, proposals, sales enablement, digital marketing, trade shows, events, or other marketing programs.
- Strong proficiency in PowerPoint, Word, and Excel; experience with Salesforce and Pardot preferred.
- Experience coordinating trade shows, conferences, or other marketing events and managing external vendors or agency partners preferred.
- Strong attention to detail, communication skills, judgment, and ability to work independently in a fast-paced environment.
- Proactive, self-directed, resourceful, and highly organized, with strong ownership, collaboration, and ability to manage multiple priorities and meet deadlines
