HR Operations Assistant – (Fixed Term)

About the Role

We are looking for an HR Operations Assistant to join our HR Operations & Payroll team on a fixed-term contract of more than 12 months, providing day-to-day support across the employee lifecycle, with a primary focus on onboarding and offboarding activities.

The role will work closely with the HR Operations & Payroll team and will coordinate with internal stakeholders, including Recruitment, IT and Facilities, ensuring that employee-related processes are completed accurately, efficiently and on time.

Job Description 

Onboarding

• Coordinate the onboarding process for new employees from offer acceptance through their first day.
• Collect, review and follow up on all required employee documentation and personal information.
• Prepare employment documentation, contracts and other relevant HR documents.
• Ensure that employee information is accurately recorded and maintained in HR systems.
• Coordinate with Recruitment, Payroll, IT and Facilities to ensure all onboarding actions are completed prior to the employee's start date.
• Monitor pending documents, approvals and signatures and proactively follow up with the relevant parties.
• Support the completion of required hiring documentation and processes related to ERGANI.
• Maintain accurate onboarding records, trackers and employee files.

Offboarding

• Coordinate employee offboarding following resignation, termination or contract completion.
• Ensure that all required documentation and HR processes are completed within the applicable deadlines.
• Coordinate with Payroll, IT and Facilities regarding final payroll information, equipment return, access deactivation and other exit-related actions.
• Maintain and monitor offboarding checklists and ensure that all required steps are completed.
• Update HR systems and employee records accordingly.

HR Operations Support

• Maintain accurate and up-to-date employee records, both electronically and where required in physical files.
• Support changes to employee data and employment terms.
• Prepare standard HR letters, confirmations and other employee documentation.
• Support the HR Operations & Payroll team with administrative activities and employee queries.
• Maintain HR trackers and prepare basic reports when required.
• Support HRIS data entry and data-quality checks.
• Assist with ad hoc HR Operations projects and process improvements.

Requirements

Required Qualifications

• Bachelor's degree in Human Resources, Business Administration, Economics or a related field.
• Approximately 1–2 years of experience in HR Administration / HR Operations.
• Previous exposure to onboarding and/or offboarding processes.
• Good understanding of employment documentation and employee records.
• Familiarity with ERGANI and basic Greek employment administration processes.
• Very good knowledge of MS Office, particularly Excel.
• Good command of English, both written and spoken.
• Strong attention to detail and accuracy.
• Good organisational and time-management skills.
• Ability to manage several requests and deadlines simultaneously.
• Professional handling of confidential employee information.

Nice to Have

• Experience with an HRIS or payroll system, particularly SoftOne/Entersoft.
• Basic understanding of payroll processes.
• Previous experience in an organisation with multiple companies/entities or a high volume of employees.
