About this Executive Assistant (Operations & HR) role at Assist World

Assistant who thrives in a fast-paced environment and enjoys bringing structure, organisation,
and efficiency to a growing business.
This is more than a traditional EA role—you'll become a trusted partner across executive
support, hiring operations, HR administration, and day-to-day business operations.
We're looking for a proactive, highly organised Executive Assistant who can anticipate needs,
solve problems independently, and communicate confidently across the team.
You'll work closely with company leadership, helping ensure the business runs smoothly while
supporting hiring, scheduling, administration, and operational projects.
Key Responsibilities
Executive Support
● Manage complex calendars and meeting scheduling
● Coordinate internal and external meetings
● Book domestic and international travel
● Manage executive inboxes (Gmail & Outlook)
● Prepare meeting agendas and follow-up actions
Hiring & Recruitment Operations
● Schedule interviews with candidates and hiring managers
● Coordinate recruitment processes
● Liaise with candidates professionally
● Keep applicant tracking systems and hiring documentation organised
● Support employee onboarding and offboarding
● Assist with HR administration and documentation
● Maintain company records and internal documentation
● Coordinate office supplies and operational purchases
● Assist with company-wide administrative projects
General Administration
● Prepare documents and presentations
● Manage digital filing systems
● Coordinate with external suppliers and service providers
● Learn and utilise new software platforms as the business grows

Essential Skills
● Excellent organisational and time management skills
● Experience using Google Workspace and Microsoft Outlook
● Strong written communication skills
● Ability to manage multiple priorities simultaneously
● High level of professionalism and confidentiality
Desirable Skills
● Recruitment or HR administration experience
● Experience using applicant tracking systems (ATS)
● Familiarity with DocuSign and document management
● Experience with project management tools (Asana, ClickUp, Monday.com, Notion, etc.)
● Experience coordinating remote teams
