ROLE OVERVIEW:

We’re looking for an experienced Mortgage Broker Assistant to take full ownership of the operational lifecycle of client loan files. Acting as the Principal Broker’s operational right-hand, you will drive the administrative, compliance, and processing engine of the business—from initial client document collection through to settlement coordination. RESPONSIBILITIES:

  • End-to-End File Processing & Lodgement: Prepare, structure, and submit loan applications through ApplyOnline (AOL), ensuring complete accuracy and compliance before submission.
  • Serviceability & Credit Analysis: Run initial serviceability assessments using Quickli and individual lender servicing calculators; review lender policies to flag potential credit issues early.
  • Document Management & Quality Control: Issue client welcome packs, collect and review financial documentation for accuracy, and maintain organized, audit-ready client files.
  • Pipeline & Conditions Management: Monitor pipeline status, submit pricing requests, order property valuations, and proactively resolve outstanding lender conditions to prevent delays.
  • Stakeholder Coordination: Maintain clear, professional communication with clients, lenders, Business Development Managers (BDMs), conveyancers, and solicitors throughout the loan process.
  • Settlement Execution: Coordinate pre-settlement and settlement logistics, verifying that all financial requirements are fulfilled for a smooth settlement day.
  • Practice Administration & CRM Maintenance: Manage the Principal Broker’s calendar, appointments, and daily tasks while keeping the CRM continuously updated.

Requirements

QUALIFICATIONS:

  • Australian Market Experience: Minimum 2+ years of direct experience as an offshore Mortgage Broker Assistant supporting Australian mortgage brokers.
  • Software & Tool Proficiency: Advanced, hands-on experience using myCRM, ApplyOnline (AOL), Quickli, lender servicing calculators, and major Australian lender portals.
  • Credit & Policy Knowledge: Strong understanding of Australian mortgage lending criteria, standard lender policies, compliance guidelines, and supporting document requirements.
  • Communication Skills: Exceptional written and verbal English communication skills, with the confidence to interact directly with clients and external stakeholders.
  • Detail & Process-Oriented: Exceptional organizational skills, high attention to detail, and a track record of managing a high-volume pipeline without missing deadlines.
