Team Overview
You will provide comprehensive sales support and administrative assistance to the sales team, ensuring the efficient execution of customer support activities, Salesforce administration, document management, and office operations. You will serve as a key support resource for internal stakeholders and customers by maintaining accurate records, coordinating administrative processes, and ensuring the smooth day-to-day functioning of the office. This role requires strong organizational skills, attention to detail, customer focus, and the ability to manage multiple priorities in a fast-paced environment. This job is assigned as On-Site Essential and requires in- person work at an assigned TU office location as a condition of employment.
Role Overview And Core Responsibilities
Sales Support & Administration
Provide first-line customer support, responding promptly and professionally to customer and internal stakeholder queries.
Support all sales administrative functions by maintaining accurate records, documentation, proposals, contracts, and other sales-related materials.
Coordinate internal processes to ensure timely completion of customer and sales-related requests.
Assist with tracking and maintaining Salesforce records, ensuring customer information, opportunities, activities, reports, and documentation are accurate and up to date.
Assist the sales team with customer onboarding, account administration, contract management, and other sales support activities.
Process, track, and maintain customer and sales documentation in accordance with company policies and procedures.
Generate reports and provide administrative support to assist management in monitoring sales activities and operational performance.
Ensure sales filing systems/processes, databases, and records are maintained accurately and securely.
Support compliance with company policies, procedures, and administrative controls.
Build and maintain positive relationships with customers, colleagues, and external service providers.
Assist with special projects and ad hoc administrative assignments as required.
Front Desk & Reception
Act as the first point of contact for clients, customers, visitors, and service providers visiting the office, ensuring a professional and welcoming experience.
Assist with customer walk-in enquiries and direct requests to the relevant business areas for resolution.
Manage the reception area and maintain a professional front-office environment that reflects the company's brand and values.
Receive, welcome, and direct visitors to the appropriate employees or meeting areas.
Manage incoming telephone calls, emails, and general enquiries, ensuring they are handled promptly and directed appropriately.
Coordinate visitor access, sign-in processes, and security requirements in line with company procedures.
Receive, distribute, and manage incoming and outgoing mail, courier deliveries, and packages.
Office Administration
Manage office administration activities, including procurement and ordering of office supplies, stationery, and other operational requirements.
Liaise with suppliers, service providers, and building management where required to support office operations.
Coordinate and support office events, meetings, travel arrangements, and general administrative requirements.
Monitor office resources and maintain a professional, organized, and productive working environment.
Undertake any other reasonable duties and responsibilities requested by management to support business operations.
Required Knowledge And Experiences
Diploma or tertiary qualification in a relevant field of study
2+ years of experience in an administrative, sales support, customer support, or office administration role.
Experience supporting sales teams with customer administration, reporting, and document management.
Strong organizational and time management skills with the ability to prioritize multiple tasks effectively.
Excellent attention to detail and accuracy in data and document management.
Strong verbal and written communication skills.
Customer focused mindset with a commitment to providing professional service to internal and external stakeholders.
Ability to work independently while contributing effectively within a team environment.
Strong problem solving skills and initiative.
Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
