Job Summary

Summary: Responsible for managing the daily operations of administrative services within the organization, ensuring smooth and efficient workflows. This role oversees office functions, staff coordination, and provides administrative support to various departments, working to enhance administrative processes, ensure compliance with organizational policies, and support overall operational goals.
Essential Functions-Manages daily administrative operations, including scheduling, correspondence, and office logistics.
-Coordinates with department heads to ensure that administrative support is aligned with departmental needs.
-Monitors and improves office workflows and processes to increase efficiency.
-Ensures compliance with hospital policies, procedures, and regulatory requirements.
-Supervises and trains administrative staff, managing performance and providing development opportunities.
-Oversees budgeting for office supplies and administrative resources, ensuring cost-effective management.
-Assists in preparing reports, presentations, and documentation for senior leadership.
-Acts as a liaison between the administrative team and hospital leadership to facilitate communication.


 

Qualifications

Education
Bachelor's Degree Business Administration required or Bachelor's Degree Healthcare Administration required or Bachelor's Degree Related Field of Study required

Experience
Experience in administrative management or office administration, preferably in a healthcare setting 5-7 years required and experience in a supervisory or leadership role 2-3 years required

Knowledge, Skills and Abilities
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in office software and administrative technologies.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
- Experience in managing and mentoring a team.

Drawing on extensive professional experience and a broad understanding of organizational development and administration, the Administrative Manager - Research Operations leads development and implementation of strategy to advance the mission of the Medical Practice Evaluation Center (MPEC), an internationally recognized clinical research and modeling research group within the Massachusetts General Hospital

Responsibilities

Organizational Strategy & Operations

  • Partner with MPEC leadership to develop and implement a strategic plan that advances the Center's research, training, and operational goals.
  • Lead initiatives that strengthen collaboration across MPEC programs, support organizational growth, and expand federal, foundation, philanthropic, and institutional partnerships.
  • Oversee development and implementation of Center-wide operational policies, processes, and best practices to promote efficiency, compliance, and continuous improvement.
  • Direct MPEC communications and external engagement efforts to increase visibility, disseminate scientific achievements, and strengthen relationships with community, academic, and funding partners.
  • Provide strategic oversight of operational resources, including space planning, technology, equipment, and infrastructure supporting research activities.

Personnel Leadership & Administration

  • Provide leadership and strategic oversight for recruitment, onboarding, workforce planning, mentorship, retention, and professional development of MPEC staff.
  • Serve as a resource on human resources policies and practices, ensuring compliance with institutional requirements and supporting employee wellbeing.
  • Oversee performance management processes, including annual evaluations, goal setting, compensation actions, employee development, and corrective action planning when necessary.
  • Supervise key operations personnel and ensure effective administration of recruiting, procurement, equipment management, onboarding, and related operational functions.
