Job Role: Travel Operations and Reservation Manager
Compensation range: $1,800-2,500 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Their mission is to transform each round of golf into a truly unforgettable journey. They manage every aspect of a clients’ journey including flights, accommodation, day trips, tee-times, travel insurance, event tickets and cruises.
Role Overview: We are looking for one highly capable travel industry professional to become the reservations and operations backbone of a growing high-end golf travel company, running approximately 10–15 escorted international tours per year alongside custom golf travel across multiple brands.
This is not a general VA position. Previous professional experience with a travel agency, tour operator, DMC or similar is required.
The role suits someone who thinks in booking files rather than tasks, who sees a flight change land in the inbox and immediately works out what it means for the transfer, the first night's accommodation, the tee time, the supplier, the invoice and the client's itinerary.
Key Responsibilities:
You'll progressively take ownership of the complete booking lifecycle.
Sales and quoting
- Respond to client enquiries and manage follow-ups through to conversion
- Research hotels, courses, transfers and ground components, and source supplier rates
- Build costed quotes and proposals, working across net rates, mark-up, single supplements and per-person twin share pricing
Reservations
- Create and confirm bookings across hotels, golf clubs, transfers and suppliers
- Communicate directly with suppliers by email and phone, across multiple time zones
- Amend live bookings — flights, room nights, tee times, transfers — and reissue documentation accordingly
- Track deposit schedules, final payment deadlines, release dates and cancellation policies so nothing lapses unnoticed
Financial administration
- Raise invoices, process and reconcile client payments and supplier invoices
- Handle currency conversion and maintain accurate margins on every file
Tour operations
- Manage golf, hotel and tour inventory through spreadsheets, including allotments, rooming lists and pax numbers
- Maintain escorted tour schedules as they evolve, and keep booking records current
- Assist with the operational setup of future tours and departures
- Prepare and maintain client itineraries in Travefy
Systems and process
- Document processes and build reference SOPs as you go, so the business runs on written procedure rather than memory
- Help select, set up and populate a CRM, and migrate existing client and booking records into it
You'll manage reservations across two brands.
Requirements
- At least 4 years in travel consultancy, reservations, tour operations or a similar travel industry role
- Excellent written and spoken English, with the confidence to negotiate and follow up with suppliers directly
- Highly tech-savvy, with strong numerical and spreadsheet skills
- Comfortable with pricing, margins, currency conversion, room nights, occupancy and per-person rates
- Exceptional attention to detail, and the ability to hold multiple live files and departures in your head at once
- Confident making and amending reservations with hotels, golf clubs and travel suppliers
- Proactive and independent, with a solution-focused approach
- Experience with Travefy, Expedia, Xero, Excel/Google Sheets, CRM platforms or GDS/travel reservation systems is highly desirable
- Reliable internet and a professional remote working setup
- Golf knowledge is a bonus, but travel industry experience matters more; training on tee-time bookings can be provided
What Success Looks Like: We want someone who can eventually be handed a client, a booking or an operational problem and simply own it end to end.
The objective is to build enough operational redundancy that the Managing Director can travel overseas and host a tour knowing that enquiries, quotes, amendments and reservations for every other trip continue to be handled accurately and promptly.
This is a small team, so you'll work directly with the Managing Director, see the whole business rather than one slice of it, and have real influence over how the operation is built as it scales.
