Role Purpose:

The Trade Finance Specialist is responsible for the accurate and timely execution of operational trade finance activities, with a focus on guarantees and related bank interactions. The role ensures transparency and reliability of guarantee processes by maintaining high-quality transaction processing, fee allocation and reporting. It contributes to efficient treasury operations by executing standardized processes within a GBS environment and ensuring data accuracy across treasury systems, banking platforms and accounting interfaces.

Role Description:

The Trade Finance Specialist performs operational trade finance activities, primarily related to the processing and administration of guarantees. The role ensures that all guarantee-related transactions are accurately recorded, monitored and processed in the respective systems. It coordinates workflows across internal departments, banks and insurance providers based on defined processes and responsibilities and ensures timely follow-up on outstanding items.

Additionally, the role supports reporting, fee allocation and cost distribution activities in alignment with accounting requirements and predefined guidelines.

Key Responsibilities:

Guarantee Processing & Administration

• Coordinate incoming requests within the guarantee workflow

• Support creation and maintenance of guarantees in the relevant IT systems

• Process guarantees based on predefined standards and approved templates

• Ensure accurate recording and documentation of guarantee transactions

Monitoring & Lifecycle Management

• Monitor guarantee maturities and initiate and track follow-up actions

• Ensure timely processing of renewals, amendments or closures

• Track outstanding items and ensure resolution

Stakeholder & Bank Coordination

• Coordinate process steps with internal departments, banks and insurance companies based on defined processes and responsibilities

• Ensure alignment of guarantee-related activities and timely information flow

• Act as operational interface for trade finance workflows

Fees, Cost Allocation & Transfer Pricing

• Check bank statements related to guarantee business

• Allocate guarantee-related fees to internal projects

• Support reporting of charges to accounting

• Apply predefined transfer pricing rules and allocate costs to subsidiaries

Reporting & Reconciliation

• Support Support preparation of guarantee portfolio reports for management and accounting

• Ensure completeness and accuracy of reported data

• Contribute to transparency of trade finance exposures

Key Performance Indicators (KPI)

• Timely processing of guarantee transactions and requests

• No missed guarantee maturities or critical deadlines

• High accuracy of guarantee data and reporting

• Accurate allocation of fees and charges

• No Internal Control System (ICS) breaches

Qualifications & Experience:

Education:

• Completed commercial apprenticeship

• Business Administration, Finance or a related field desirable

• Solid understanding of finance, accounting and banking principles

Position Requirements:

• Fluent English and German language skills (min. B2 level)

• 3+ years of experience in trade finance, treasury operations

• Experience in processing and administration, including handling documents and electronic files

• Treasury management systems or electronic banking tools advantageous

• Experience with SAP - advantageous

• Experience with Komgo or another trade finance tools - advantageous

Skills & Competencies:

• Understanding of trade finance processes, especially guarantees

• Strong attention to detail and structured working approach

• Ability to handle transactional processes and documentation accurately

Problem Solving:

• Ability to identify inconsistencies in guarantee data, fees or transactions

• Structured approach to resolving operational issues and coordination gaps

Leadership:

• Takes ownership of assigned trade finance processes

• Ensures accuracy and reliability of operational activities

Interpersonal skills:

• Strong teamwork and communication skills

• Reliable collaboration with internal stakeholders (e.g. Accounting, Treasury, Banking partners)

• High level of commitment, motivation and willingness to learn
