Job PurposeThe Supply Operation Specialist provides cross-functional operational and administrative support to the Supply Planning Team. The role enables the team to execute planning activities efficiently by ensuring data accuracy, timely reporting, structured follow-up and coordination of recurring processes across products and business channels.
The person supports consistent ways of working, maintains reliable planning information and proactively follows up actions and exceptions, helping the team protect product availability, inventory targets, service levels and compliance requirements.
Job Description
Major Activities
- Provide day-to-day support to the Supply Planning Team across products and business channels
- Prepare, consolidate and maintain recurring operational reports, dashboards and planning files, ensuring data completeness, consistency and timely distribution
- Support the monitoring of stock levels, inventory projections, customer service indicators, stock-outs, write-offs and other supply chain KPIs
- Collect, validate and reconcile data from SAP and other relevant systems, identifying discrepancies and coordinating their resolution with the appropriate stakeholders
- Monitor recurring operational exceptions, including MRP messages, delayed goods receipts, missing confirmations and inventory variances, and ensure timely follow-up or escalation
- Support planners in the preparation and administration of allocation, shortage and supply-risk processes
- Coordinate administrative activities related to warehouse and distribution operations, including returns, inventory adjustments, reconciliations and supporting documentation
- Act as an operational interface with Customer Service, Warehouse, Quality, Finance, Commercial teams and other stakeholders for data requests, status checks and administrative follow-up
- Contribute to process standardization, automation and continuous improvement initiatives that increase team efficiency and data quality
Ideal Background
Education (minimum/desirable): Degree in Business and Economics, Management Engineering, or another relevant scientific discipline
Languages: English and Italian language
Professional Experience: 1-2 years of experience in the supply chain of pharmaceutical companies or multinational companies operating in the GDO
Competencies:
Good knowledge of SAP system
Strong analytical and Excel skills
Good knowledge of AI-enabled tools and ability to use them responsibly to support data analysis, process automation, reporting and day-to-day productivity

- Pay frequency: Monthly
- Expected weekly working hours: 40 hours
