Responsible for planning, coordinating, and executing product, supplier, and contract conversion initiatives across healthcare facilities. This role works closely with sourcing, contracting, clinical teams, operations, distribution partners, and suppliers to ensure successful implementation of standardized products and services. The specialist manages project timelines, stakeholder communication, inventory transition activities, and post-implementation support to achieve cost savings, contract compliance, operational efficiency, and uninterrupted patient care.

Essential Functions

  • Lead and coordinate healthcare product and supplier conversion projects from approval through implementation and stabilization.
  • Develop project plans, timelines, milestones, communication plans, and implementation documentation.
  • Partner with sourcing, contracting, value analysis, clinical, and operational teams to execute conversion strategies.
  • Serve as the primary point of contact for suppliers, distributors, and facility stakeholders during conversions.
  • Monitor project progress and proactively identify, escalate, and resolve implementation barriers.
  • Analyze inventory levels and utilization data to develop product depletion and replacement strategies.
  • Coordinate item additions, deletions, and changes within ERP, MMIS, and procurement systems.
  • Facilitate inventory transitions while minimizing waste, obsolescence, and supply disruptions.
  • Track conversion savings, implementation metrics, contract compliance, and standardization outcomes. Provide routine status updates to appropriate stakeholders.
  • Support product education, training, and communication activities for end users.

Legacy Essential Functions

  • Maintain project documentation and records to ensure compliance with organizational policies and procedures.
  • Collaborate with distribution centers and suppliers to ensure product availability throughout implementation.
  • Participate in committees and meetings, including Value Analysis Committee (VAC) initiatives and strategic sourcing projects.
  • Identify opportunities to improve standardization, utilization, and supply chain processes.
  • Conduct post-implementation reviews to validate outcomes and identify lessons learned.
  • Support supply disruption mitigation efforts related to conversion projects.
  • Provide on-site support for conversion and implementation initiatives through travel to designated locations, as required, ensuring effective execution and stakeholder alignment.

Education

Required

  • Associate's Degree in Business, Healthcare, Supply Chain, or a related field. Equivalent experience will be considered in lieu of a degree.

Preferred

  • Bachelor's Degree in Supply Chain Management, Business Administration, Healthcare Administration, Nursing, Finance, or a related field.

Experience

Required

  • Two (2) or more years of experience in healthcare supply chain, sourcing, materials management, contracting, project management, or implementation support.

Preferred

  • Experience managing product, supplier, or contract conversion projects in a healthcare setting.
  • Experience working with clinicians, physicians, nursing leadership, and cross-functional teams.
  • Experience with ERP/MMIS systems, procurement applications, and inventory management processes.

Knowledge, Skills, and Abilities

  • Knowledge of healthcare supply chain operations, procurement, contracting, and inventory management practices.
  • Knowledge of product standardization, conversion planning, and implementation methodologies.
  • Understanding of healthcare clinical environments and supply utilization processes.
  • Ability to manage multiple projects simultaneously and meet competing deadlines.
  • Strong project management and organizational skills.
  • Strong analytical and problem-solving capabilities.
  • Ability to analyze utilization, spend, inventory, and compliance data.
  • Excellent verbal, written, and presentation communication skills.
  • Strong stakeholder management and relationship-building skills.
  • Ability to influence and collaborate across clinical, operational, and administrative teams.
  • Proficiency in Microsoft Excel, PowerPoint, Word, and other Microsoft Office applications.
  • Experience utilizing ERP, MMIS, procurement, and reporting systems.
  • Strong attention to detail and follow-through.
  • Ability to adapt to changing priorities in a fast-paced healthcare environment.
  • Customer-focused approach with a strong service orientation.
  • Ability to work independently with minimal supervision while effectively collaborating within a team environment.
  • Ability to facilitate meetings and lead cross-functional teams.
