SCOPE OF THE ROLE
To ensure smooth supplier integration, catalogue enablement, and data governance between Oracle and COUPA for ABM UK, acting as the operational bridge between Procurement, IT, and the Global COUPA team.
Key Responsibilities:
- Supplier Management
- Support onboarding/offboarding in Oracle and monitor data flow to COUPA.
- Validate supplier data and reporting accuracy.
- Raise ServiceNow tickets for interface or system errors.
- Supplier Enablement & Catalogue Management
- Identify suppliers suitable for hosted or punch-out catalogues based on spend and strategic relevance.
- Facilitate catalogue setup and communication between suppliers and business.
- Coordinate technical catalogue implementation with IT/U.S. team.
- Maintain a supplier enablement tracker and progress report.
- System Administration
- Manage supplier and catalogue data in the COUPA test environment.
- Oversee supplier group permissions and content group management.
- Coordinate testing and approval for promotion to Production.
- Content Group Governance
- Maintain and update UK-specific content group structures (suppliers, catalogues, ship-to addresses).
- Liaise with Operations to ensure site accuracy.
- Act as UK custodian for content group governance aligned with global standards.
- Stakeholder Collaboration
- Act as the first point of contact for supplier/user issues in COUPA.
- Liaise with U.S. COUPA support (Kevin, Sharon) and internal teams (Procurement, IT, Ops).
- Support Procurement and Operations with reporting and supplier data analytics.
- Process & Training
- Document end-to-end SOPs for supplier enablement and catalogue management.
- Support training for new users and suppliers.
- Drive continuous improvement in supplier enablement processes.
3. Process Flow Overview
Stage 1: Supplier Identification
- Run COUPA spend reports to identify potential catalogue suppliers.
- Discuss and prioritise with Procurement and Operations.
Stage 2: Supplier Enablement
- Contact suppliers to confirm hosted or punch-out capability.
- Engage IT/U.S. COUPA team for punch-out setup if required.
Stage 3: Catalogue Development
- Hosted Catalogue: Share template with supplier, validate data, and upload to COUPA test.
- Punch-Out: Coordinate technical integration and testing with IT/U.S. team.
Stage 4: Testing & Approval
- Test catalogue functionality (pricing, workflow, access).
- Raise ServiceNow tickets for issues and validate fixes.
- Request promotion to Production upon successful testing.
Stage 5: Content Group Management
- Assign supplier/catalogue to appropriate content groups and ship-to addresses.
- Update visibility per BU/site.
- Maintain a governance log.
Stage 6: Ongoing Maintenance
- Review catalogue performance quarterly.
- Deactivate inactive suppliers (e.g., no spend for 6 months).
- Maintain relationships with suppliers and stakeholders.
- Support reporting, training, and process improvement.
Requirements
Essential
- Experience in procurement, supplier enablement, procurement operations, or systems administration
- Experience supporting supplier onboarding and offboarding processes
- Experience managing or supporting hosted and punch-out catalogues
- Working knowledge of COUPA or a similar procurement platform
- Working knowledge of Oracle or a similar ERP system
- Experience using ServiceNow or a similar ticketing system
- Experience validating supplier data, reporting, and data accuracy
- Experience working across Procurement, IT, Operations, and external suppliers
- Experience coordinating testing, issue resolution, and promotion to production
- Strong organisational skills with the ability to manage trackers, governance logs, and multiple priorities
- Strong attention to detail and accuracy
- Clear written and verbal communication skills
- Ability to document processes and support user or supplier training
Desirable
- Previous experience in supplier enablement or catalogue management within a large organisation
- Experience working within a global systems or procurement framework
- Experience with supplier data analytics, spend reporting, or procurement reporting
- Experience maintaining content groups, permissions, or catalogue visibility controls
- Experience supporting process improvement or continuous improvement activity
- Relevant qualification in procurement, business administration, or systems administration
