The Institute for Digital Molecular Analytics and Science (IDMxS) is a new, unique interdisciplinary Research Centre of Excellence (RCE), funded by Ministry of Education (Singapore), Nanyang Technological University and National University of Singapore.

The Senior Executive / Assistant Manager, Grant Administration supports the effective administration and financial management of research grants at IDMxS, ensuring compliance with funding guidelines, regulatory requirements, and reporting deadlines. The role works closely with researchers, funding agencies, and internal stakeholders to support research activities and facilitate the smooth execution of grant-related processes.

Responsibilities

Grant Administration

• Manage the full grant lifecycle, including application submission, award creation, variations, and grant closure.
• Review grant proposals, communicate approved budgets, and ensure compliance with funding guidelines and requirements.
• Provide financial and grant advisory support to Principal Investigators (PIs), researchers, funding agencies, and internal stakeholders.
• Monitor grant budgets, verify expenses, prepare forecasts and reports, and follow up on funding disbursements.
• Coordinate with internal and external stakeholders on grant administration matters and identify new grant opportunities for the Centre.

Research Support Administration

• Support research operations through purchase requisition approvals, finance coding, invoice processing, journal postings, and claims submissions.
• Administer and track purchase requisitions through the ARIBA system.
• Coordinate manpower administration activities, including funding checks and maintenance of related documentation.
• Create and maintain project structures (WBS/PID) to support research grants and manpower funding requirements.
• Provide administrative support to Centre leadership, including meeting coordination, travel arrangements, expense claims, and other ad hoc operational duties.
• Maintain annual Grant Calls Calendar and effectively prompts PIs 3 months ahead of time and thereafter, to facilitate the application of grant calls.

Requirements

• Bachelor’s degree in Finance, Business Administration, or a related field.
• Minimum 3+ years of experience in grant administration, preferably in a research, higher education environment.
• Must have knowledge of and experience in all administrative functions associated with end-to-end grant management.
• Experience in research benchmarking (e.g., calculating H-index, FWCI-index) will be advantageous.
• Strong communication, organisational, analytical, and problem-solving skills, with a keen attention to detail.
• Ability to collaborate effectively with diverse stakeholders, including researchers, funding agencies, and senior leadership, while ensuring compliance with governance requirements.
