Under the direction of the Dean of Business and Computer Information Systems, the Senior Administrative Specialist assists with communication among the programs of the division and is responsible for providing frontline constituent support, coordinating office activities, researching, and preparing special reports, and executing administrative policies and procedures as directed by supervisors.

Essential Duties:

  • Manage day-to-day division office operations for the Dean, including faculty relations, constituent communication, external partnerships, and coordination with local, state, and national organizations

  • Coordinate the Dean’s meetings, communications, correspondence, and administrative support needs while handling confidential information with tact, discretion, and compliance with applicable College policies and FERPA regulations

  • Coordinate division course scheduling processes, including faculty load and compensation records, room scheduling, schedule entry, schedule changes, cancellations, and related updates in Workday, Ad Astra, and other College systems

  • Maintain division operational processes and records, including timesheets, work orders, supply orders, purchase orders, book orders, grade books, degree plans, budget records, meeting records, and correspondence with outside entities

  • Serve as a liaison for the division by providing information and assistance to students, faculty, staff, community organizations, governmental agencies, contractors, vendors, and other constituents regarding College programs, schedules, procedures, and requirements

  • Prepare, track, and report budget information, including monthly budget reports and related financial documentation to support division operations

  • Organize and maintain work files, reports, and division information using Excel, Word, Workday, Ad Astra, and other College software and database management systems

  • Collaborate with administrative staff, campus clubs and organizations, committees, and division personnel on projects, student support activities, and other assigned initiatives

  • Prioritize daily workflow, manage multiple projects, oversee assigned staff or work-study students, perform clerical support tasks

  • Additional duties may be assigned as necessary to support the goals and objectives of the department and college

Rate of Pay: $18.55 per hour *Higher compensation may be considered based on qualifications directly related to position

Minimum Qualifications:

  • Associate degree and one year of related administrative, business management, business education, or office support experience; or an equivalent combination of education and related experience

Preferred Qualifications:

  • Experience using Workday or similar enterprise resource planning, scheduling, or administrative systems

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively and professionally with students, faculty, staff, administrators, community partners, vendors, and the general public in person, by phone, and through written and digital communication
  • Ability to serve as a professional frontline representative of the division while providing accurate information, assistance, and customer service regarding College programs, schedules, procedures, and requirements
  • Ability to prepare, review, and publish reports, correspondence, documents, and related materials using appropriate tone, style, accuracy, and timeliness
  • Knowledge of computers, software applications, and office technology, including word processing, spreadsheets, databases, presentation software, mail merge, reporting tools, and College systems
  • Ability to collect, enter, organize, analyze, and use data to support decision-making, student engagement, reporting, and continuous improvement efforts.
  • Knowledge of business mathematics and ability to analyze financial records, budget information, and related reports
  • Ability to research, interpret, recommend, and apply administrative policies, procedures, and work program information using sound judgment and initiative
  • Ability to establish and maintain effective working relationships, exercise tact and discretion, obtain cooperation, and support student success through responsive service
  • Ability to plan, organize, prioritize, and manage multiple projects, workflows, and assigned staff or student workers within established guidelines

The work environment typically consists of a professional office setting with a moderate noise level, including sounds from conversations, office equipment, and occasional movement of staff. Lighting is standard for office spaces, and the temperature is controlled to remain within a comfortable range. Employees may occasionally need to visit other areas, such as storage rooms, conference spaces, or outdoor locations, where environmental conditions may vary. Infrequently, exposure to louder noise levels or physical activities, such as moving lightweight materials, might be required.
