What You Will Achieve
In this role, you will:
- Manage the onboarding of MRO spare parts using approved engineering information and create or update part master data in the applicable CMMS/EAMS.
- Receive spare parts and verify purchase-order documentation, quantity, technical specifications, and external condition before acceptance.
- Ensure that damaged, incorrect, rejected, obsolete, or otherwise nonconforming materials are appropriately identified, labeled, and segregated to prevent unintended use.
- Coordinate return-to-supplier activities with Procurement, suppliers, and requestors, including maintaining the required documentation and reasons for return.
- Accurately record spare-part receipts, issues, returns, and inventory adjustments in SAP/ERP and CMMS/EAMS, as applicable.
- Label and store spare parts in designated locations under the storage conditions specified by the manufacturer.
- Issue spare parts against the appropriate work order and process eligible unused parts returned to the MRO stockroom.
- Perform cycle counts, inventory reconciliation, and follow-up activities to resolve discrepancies between physical inventory and system records.
- Monitor critical-spare availability, stockout risks, lead times, minimum and maximum stock levels, reorder points, safety stocks, and equipment or bill-of-material associations.
- Review slow-moving, non-moving, damaged, obsolete, and equipment-specific spare parts, including materials affected by equipment modification or decommissioning.
- Maintain accurate part descriptions, manufacturer and model information, storage locations, inventory status, equipment associations, and bills of materials in CMMS/EAMS.
- Execute MRO business-continuity activities during planned or unplanned CMMS/EAMS outages, maintain manual transaction records, and restore transactions accurately following system recovery.
- Support maintenance planning by reviewing work-order material requirements and preparing spare parts, consumables, tools, vendor support, technical documents, and engineering drawings.
- Assist in developing maintenance work packs for preventive maintenance, corrective maintenance, shutdowns, major repairs, and engineering projects.
- Support the preparation and updating of mechanical drawings, electrical drawings, wiring diagrams, single-line diagrams, panel layouts, P&IDs, equipment layouts, exploded views, spare-part drawings, and as-built drawings.
- Ensure that only current and approved drawing revisions are used, and support field verification and controlled document updates following approved change-management processes.
- Support preventive maintenance, corrective maintenance, troubleshooting, inspections, breakdown repairs, and functional checks according to competency, authorization, and operational requirements.
- Accurately record completed work, labor hours, parts used, unused parts returned, and functional-test results in the applicable work order or supporting documentation.
- Collect equipment specifications, drawings, OEM information, material data, test reports, and other supporting evidence for exact-replacement or like-for-like assessments by qualified Engineering personnel.
- Support technical purchasing, quotation clarification, vendor coordination, material-delivery monitoring, repair services, warranty follow-up, and technical-document collection.
- Comply with GMP, Good Documentation Practices, data-integrity requirements, EHS requirements, PPE rules, safe material-handling practices, housekeeping standards, and applicable site and global procedures.
Here Is What You Need (Minimum Requirements)
- Diploma 3 (D3) or higher qualification in Mechanical Engineering, Electrical Engineering, Automation, Mechatronics, or another relevant technical discipline.
- At least 2 years of relevant experience in MRO, spare-parts management, an engineering stockroom, maintenance planning, a technical warehouse, or maintenance operations.
- Basic knowledge of GMP, Good Documentation Practices, data integrity, EHS requirements, and record traceability.
- Understanding of spare-part onboarding, receipt, storage, issue, return, segregation, cycle counting, and inventory reconciliation.
- Ability to use CMMS/EAMS for work-order material transactions, part-master data, equipment associations, and traceable inventory records.
- Ability to identify common mechanical, electrical, and automation components and interpret their technical specifications.
- Ability to read mechanical drawings, electrical drawings, wiring diagrams, single-line diagrams, equipment layouts, and P&IDs.
- Ability to prepare spare parts, consumables, tools, technical documentation, and other materials required to support maintenance activities.
- Working knowledge of PPE, safe storage, material segregation, housekeeping, hazard reporting, and applicable site safety procedures.
- Strong analytical, organizational, communication, teamwork, and problem-solving skills.
- Strong attention to detail and the ability to maintain accurate inventory, transaction, and technical-document records.
- Proficiency in Microsoft Office applications, particularly Microsoft Excel, for basic analysis of inventory, consumption, lead time, and stock risks.
- Ability to work independently and collaboratively while managing multiple priorities in a dynamic operational environment.
Bonus Points If You Have (Preferred Requirements)
- Experience working in the pharmaceutical industry or another regulated manufacturing environment.
- Experience using SAP/ERP, CMMS/EAMS, or other maintenance and inventory-management systems.
- Experience supporting maintenance planning, preventive maintenance, corrective maintenance, shutdown activities, major repairs, or engineering projects.
- Experience with technical purchasing, vendor coordination, quotation clarification, delivery follow-up, repair services, and warranty management.
- Knowledge of inventory optimization, critical-spare analysis, minimum and maximum stock levels, reorder points, safety stock, and obsolescence management.
- Experience supporting inventory reconciliation, slow-moving and non-moving inventory reviews, or spare-part cost-optimization initiatives.
- Ability to perform dashboard preparation, Pareto analysis, and trend analysis related to inventory, material consumption, lead times, or stock risks.
- Experience supporting maintenance troubleshooting and hands-on technical activities within the limits of assigned competency and authorization.
- Additional training or certification in inventory management, maintenance planning, CMMS/EAMS, CAD or engineering drawings, GMP, data integrity, or safety.
- Experience using common AI tools, including generative technologies such as ChatGPT or Microsoft Copilot, to support data analysis, problem solving, documentation, and productivity. Demonstrated curiosity in exploring how these technologies can improve maintenance and MRO outcomes, together with an understanding of responsible AI practices, confidentiality, risk management, and ethical use.
