Job Description
Key Responsibilities
- Welcome and assist students, parents, staff, visitors, and external stakeholders in a professional, courteous, and service-oriented manner.
- Serve as the first point of contact for the school, ensuring a positive and professional experience for all visitors and callers.
- Manage incoming telephone calls, emails, messages, and general enquiries, providing accurate information or directing enquiries to the appropriate person or department.
- Maintain effective communication with different school departments to ensure enquiries, requests, and messages are followed up appropriately.
- Monitor and manage the reception area, ensuring it remains organized, professional, and welcoming.
- Follow established procedures for visitor registration, identification, access, and sign-in/sign-out processes.
- Support the implementation of school security, health and safety, and safeguarding procedures at the reception area.
- Respond appropriately to unexpected situations, incidents, or concerns and promptly notify the relevant member of staff when required.
- Maintain accurate records, logs, contact information, and other reception-related documentation.
- Support administrative tasks such as preparing documents, scanning, photocopying, filing, data entry, and maintaining electronic and physical records.
- Assist with the coordination of appointments, meetings, deliveries, and other activities involving the reception area, admissions and re enrollment departments.
- Provide support to parents and visitors with general school-related information while maintaining confidentiality and respecting established communication protocols.
- Assist with school events and activities when reception or front-office support is required.
- Handle confidential and sensitive information appropriately and in accordance with school policies and procedures.
- Maintain a professional appearance and demonstrate a consistently positive and helpful attitude.
- Comply with all school policies, procedures, and expectations regarding safeguarding, confidentiality, health and safety, and professional conduct.
- Undertake other reasonable duties related to the role as required by the line manager.

Qualifications:
- High school diploma or equivalent qualification required.
- Administrative, customer service, communications, or related qualifications and training are desirable.
- English language proficiency is required.
Experience:
- Previous experience in reception, customer service, administration, front-office support, or a similar role. (typically 1–2 years minimum)
- Familiarity with general office equipment (e.g., printers, copiers, scanners)
