Patient Service Representative

Overview

As a Patient Service Representative (PSR), you will be the first point of contact for patients and visitors, helping create a welcoming, professional, and positive experience from arrival through departure.

In this role, you will support front desk operations, patient scheduling, registration, insurance verification, and administrative workflows within a busy OB-GYN practice. Your attention to detail and commitment to outstanding service will help ensure a seamless experience for our patients and care teams.

Key Responsibilities

• Greet patients and visitors with professionalism, compassion, and courtesy.
• Verify patient demographics, insurance information, and identity during check-in.
• Schedule, reschedule, check in, and check out patients.
• Answer incoming phone calls and appropriately route inquiries.
• Create, update, and maintain accurate patient records in Epic and other electronic health record systems.
• Process referrals and manage assigned work queues to ensure timely patient follow-up.
• Perform clerical duties, including scanning, faxing, copying, filing, mail processing, and document management.
• Collect patient payments and reconcile cash drawer transactions accurately.
• Operate and maintain front office equipment, including computers, scanners, copiers, fax machines, and payment processing devices.
• Support clinic workflow initiatives and Epic system enhancements.
• Maintain a clean, organized, and welcoming reception area.
• Adhere to all HIPAA, confidentiality, infection prevention, and safety guidelines.
• Participate in team meetings, required training, and continuous improvement initiatives.
• Collaborate effectively with providers, nurses, and support staff to ensure exceptional patient care.

Qualifications

Required Education

• High School Diploma or equivalent.

Required Skills & Experience

• Excellent customer service and patient-focused communication skills.
• Strong verbal and written communication abilities.
• Basic computer proficiency, including data entry and word processing.
• Strong attention to detail and commitment to accuracy.
• Ability to multitask and manage competing priorities in a fast-paced healthcare environment.
• Ability to maintain confidentiality and handle sensitive patient information appropriately.
• Professional demeanor with the ability to remain calm under pressure.
• Willingness to complete Mercy's Clinic Core Front Desk Training upon hire.

Preferred Qualifications

• Previous experience in a healthcare, medical office, or patient registration setting.
• Experience utilizing Epic or other Electronic Health Record (EHR) systems.
• Familiarity with insurance verification, referrals, and patient collections.

Physical Requirements

• Ability to occasionally lift, push, pull, and/or move up to 50 pounds.
• Ability to stand and walk for extended periods throughout the workday.
• Ability to bend, kneel, squat, twist, reach, and perform repetitive hand movements as needed.
