About the Role: 

 

Reporting to the Manager, Clinical Operations, the Nursing Clinical Assistant provides administrative coordination for clinical education activities within the Nursing program. The Nursing Clinical Assistant supports Clinical Nursing Instructor (CNI) hiring and onboarding, regulatory and preceptor administration, clinical data reporting, and established placement workflows. The incumbent maintainsaccurate records, quality improvement structures, coordinates routine communications with students and external bodies, and escalates clinical issues, policy, compliance, or placement decisions to the appropriate program lead.  

 

The Nursing Clinical Assistant will:  

 

  • Coordinate the administrative components of CNI recruitment, including interview scheduling, registration verification against established requirements, distribution and hiring, onboarding, and maintenance of candidate records;  

  • Process approved CNI staffing changes, including absences and call-ins, make-up shifts, replacement assignments, and contract amendments, ensuring information is communicated and recorded accurately;  

  • Coordinate CNI onboarding activities and learning modules, follow up on outstanding requirements, and maintain current onboarding records;  

  • Respond to routine CNI questions concerning established administrative processes and direct clinical, employment, policy, or collective agreement matters to the appropriate resource 

  • Administer established student re-entry processes, including coordinating payment information, monitoring completion of required steps, and maintaining supporting records;  

  • Maintain preceptor contact information and coordinate recognition activities; 

  • Coordinate routine correspondence and document exchange with the College of Nurses of Ontario (CNO), maintain records of submissions and responses, and escalate matters requiring interpretation or professional judgment;  

  • Maintain organized and confidential clinical program records in accordance with University requirements and applicable privacy practices; 

  • Extract and consolidate data from clinical-related systems and platforms to support Program Quality Improvement (PQI), operational planning, and reporting requirements;  

  • Review data for completeness and consistency, conduct routine analysis, identify trends or discrepancies, and prepare summaries, tables, and reports for program leadership;  

  • Provide administrative support for clinical placement processes as required, including data entry, document collection, status tracking, scheduling support, and maintenance of placement records;  

  • Monitor shared email accounts and phone lines and respond to routine student inquiries using approved information, templates, and service standards;  

  • Collaborate with Nursing program staff, faculty members, University departments, and external partners to obtain information, resolve routine administrative issues, and support established timelines.  

 

Key Skills and Experience: 

  • Diploma or degree in related discipline and/or equivalent combination of education and experience; 

  • Experience in administration or program coordination, preferably in a post-secondary, healthcare, clinical education, or similarly regulated environment; 

  • Experience coordinating records, schedules, hiring or onboarding processes, and confidential information; 

  • Knowledge of administrative practices and the ability to learn University, Nursing program, clinical placement, and regulatory processes;  

  • Proficiency with office productivity software, spreadsheets, databases, survey tools, and web-based information systems;  

  • Ability to extract, organize, validate, and analyze data and prepare clear, accurate reports and summaries;  

  • Strong attention to detail and ability to maintainaccurate records, track requirements, and meet recurring deadlines;  

  • Excellent organizational and time-management skills, with the ability to coordinate multiple concurrent processes;  

  • Excellent written and verbal communication skills, including the ability to prepare professional correspondence;  

  • Sound judgment in handling confidential and sensitive information and in recognizing matters that require escalation;  

  • Strong customer-service and interpersonal skills when working with students, instructors, faculty, staff, regulatory bodies, and external partners;  

  • Ability and willingness to learn and adapt to new technologies, systems, and evolving program processes; and  

  • Promotes and embodies inclusivity and respect within the workplace and the broader community. 

 

Preferred or Asset Skills:  

  • Experience with clinical education administration, CNO-related processes, data reporting, survey tools, or placement systems is an asset. 

 

Salary and Total Rewards:  

  • Job Grade I, Salary Scale ($52,798- $84,476); 

  • Target Hiring Range: $52,798  $56,000* 

  • This is a permanent position that includes

  • Pension Plan: Enrollment eligibility in the Brock University Pension Plan. 

  • Vacation: Up to 3 weeks per year, in addition to university holidays.

*The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
