Summary

The Medical Assistant reports to the Ambulatory Clinical Manager, Practice Manager, or other designated supervisor and works under the general supervision of a Licensed Independent Practitioner in an ambulatory care setting. This role is performed in accordance with established organizational policies, procedures, and clinical standards.

The Medical Assistant provides age-appropriate care to pediatric, adolescent, adult, and geriatric patients while promoting patient- and family-centered care. Responsibilities are carried out in alignment with Brown University Health's mission, vision, and values, with respect for each patient's developmental stage, cultural background, and individual needs.

Responsibilities

  • Perform assigned duties efficiently, professionally, and within the scope of training and certification.
  • Follow established office, clinic, and practice workflows to promote quality patient care and operational efficiency.
  • Complete pre-visit planning by reviewing and updating patient records, including laboratory results, consultations, correspondence, and preventive care needs. Communicate point-of-care reminders through the electronic medical record (EMR).
  • Welcome and register patients, answer telephone calls, schedule appointments, obtain referrals and prior authorizations, process forms, and complete patient check-out procedures.
  • Collect and process patient financial responsibilities, including copayments, deductibles, and self-pay balances.
  • Verify the accuracy of patient demographics, insurance information, referrals, authorizations, diagnoses, and billing information.
  • Provide clerical and administrative support while serving as a resource for new staff regarding departmental policies and procedures.
  • Prepare patients for examinations by escorting them to exam rooms, obtaining vital signs, weight, chief complaint, medication reconciliation, medical histories, pain assessments, and required questionnaires, documenting all information in the EMR.
  • Maintain efficient patient flow throughout the practice.
  • Review health maintenance and chronic disease management requirements and perform or initiate services according to standing orders and clinical protocols.
  • Perform point-of-care testing, including but not limited to:
    • Blood pressure
    • Electrocardiograms (EKGs)
    • Pulse oximetry
    • Hemoglobin A1C
    • Blood glucose testing
    • Urinalysis
    • Urine pregnancy testing
    • Rapid strep testing
    • Other approved diagnostic tests
  • Accurately document allergies, medications, medical history, surgical history, family history, and initiate pharmacy benefit verification.
  • Assist providers during examinations and procedures using appropriate aseptic technique and infection prevention practices.
  • Administer vaccines and place PPD skin tests in accordance with clinic protocols and standing orders.
  • Complete post-visit responsibilities, including proper labeling, documentation, and transport of laboratory specimens.
  • Track laboratory orders and results, update the EMR, conduct patient outreach for outstanding testing, and promptly report abnormal results to the provider or nurse.
  • Coordinate specialty referrals, monitor consult reports, update the EMR, and contact patients regarding pending referrals.
  • Review and process pending prescription refill requests.
  • Clean and prepare examination rooms between patients while maintaining appropriate room setup and supply levels.
  • Educate patients regarding procedures, testing requirements, care coordination, and appropriate use of emergency services. Document any identified barriers to care.
  • Schedule follow-up appointments and diagnostic testing, verify demographic and insurance information, and obtain prior authorizations when required.
  • Monitor inventory, stock exam rooms, clean medical equipment, report malfunctioning equipment, and remove expired medications or supplies according to policy.
  • Perform administrative tasks such as preparing patient correspondence and reminder notices.
  • Demonstrate effective time management by using downtime productively to support clinic operations.
  • Maintain compliance with quality assurance, safety, infection prevention, and environmental standards.
  • Protect patient privacy and confidentiality in accordance with HIPAA and organizational policies.
  • Maintain a positive, collaborative attitude while supporting a team-based approach to patient care.
  • Support the goals of the Patient-Centered Medical Home model through flexibility, adaptability, and continuous improvement.
  • Perform other duties as assigned.

Minimum Qualifications

Education

  • High school diploma or equivalent required.
  • Basic Life Support (BLS) certification required.
  • Medical Assistant certification required.

Experience

  • Graduation from an accredited Medical Assistant training program or a minimum of three (3) years of Medical Assistant experience required.
  • Candidates without formal Medical Assistant training may be considered if they possess at least three years of comparable healthcare experience, such as Licensed Practical Nurse (LPN), Emergency Medical Technician (EMT), Paramedic, Medical Student, or a similar clinical role.

Knowledge and Skills

  • Ability to read, write, and communicate effectively in English.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with electronic medical records (EMR) and standard office software.
  • Ability to multitask while maintaining accuracy and attention to detail.
  • Commitment to providing compassionate, patient-centered care.

Work Environment and Physical Requirements

This position is performed in healthcare settings, including physician practices, ambulatory clinics, hospitals, and affiliated healthcare facilities. The role involves frequent patient interaction and the use of medical equipment while adhering to established safety and infection control procedures.

Physical requirements include:

  • Frequent walking and standing throughout the workday.
  • Occasional exposure to electrical and other workplace hazards, with appropriate safety precautions in place.
  • Ability to assist with positioning patients.
  • Ability to lift and move supplies and equipment weighing up to 50 pounds.

Pay Range:

$18.13-$29.90
