Job Description:
As a Marketing Coordinator, you will balance operational project management with active content creation. You will be responsible for authoring externally published materials, crafting external social media content, and ghostwriting thought leadership on behalf of our CEO.
You will report directly to the Chief Commercial Officer (CCO) and work in close alignment with our Director of Performance Marketing to coordinate campaigns, manage vendor workflows, and amplify the brand's presence.
Key Responsibilities include, but are not limited to:
External Communications & Content Authoring
- External Publishing & PR Copywriting: Research, draft, and author compelling, high-quality content for externally published materials, including local and national newspapers, trade magazines, industry journals, and digital publications.
- CEO Thought Leadership: Directly author high-impact social media content and articles on behalf of the CEO (Jeff), capturing his unique voice to drive executive thought leadership, share company milestones, and expand corporate brand authority on platforms like LinkedIn.
- Social Media Content Creation: Write, design, and schedule corporate social media content aimed at driving brand engagement and client/provider awareness.
- Investor Newsletter: Own the end-to-end production of the newsletter—including drafting core updates, chasing clinical and operations leaders for department content, routing files for executive review, and coordinating layouts with our external designer.
Operational Project Management & Ad-Hoc Communications
- PR & Thought Leadership Coordination: Support executive thought leadership by tracking speaking opportunities, managing deadlines for submissions, routing draft bylines for review, and processing vendor invoices.
- Internal Coordination & Assets: Create design assets for internal teams as needed (e.g., Zoom backgrounds, LinkedIn banners, recruitment flyers, and slide templates). Update and maintain the impact story slide for company All-Hands meetings.
- Support marketing campaigns including community marketing, reporting, video coordination (scripting, editing, following up) and collateral creation. Event & sponsorship coordination including various conferences
Finance & Marketing Tool Administration
- Contractor & Vendor Payments: Coordinate with the Finance team on payment of external freelance designers and marketing contractors on a project-by-project basis.
- Financial Tracking: Submit and track marketing receipts. Compile and organize monthly marketing spend data to assist with budget tracking.
- Tool Subscription Management: Monitor and manage renewals for active marketing software subscriptions (e.g., iStock, Canva, Mailchimp, Webflow) and assist in evaluating potential new platforms.
Digital Presence, Website & Email Marketing
- Client Communications: Draft, test, and send client-facing emails via Mailchimp (e.g., clinical surveys, billing updates, holiday closures, assessment reminders, and caregiver gift card campaigns).
- Website Administration: Implement basic copy updates, press releases, and blog postings in Webflow. Set up and generate UTM tracking links across marketing campaigns to ensure clean attribution data.
- Review Moderation: Respond to and triage incoming Google Reviews with internal clinical and operations teams.
Sales & Field Team Support
- Sales Collateral Management: Assist the business development team by creating PowerPoint decks and physical marketing collateral.
- Logistics & Fulfillment: Order, track, and manage shipments of field collateral (e.g., brochures, business cards via VistaPrint) for Directors of Professional Relations (DoPs) and coordinate delivery of recording/video equipment to families.
Strategy Execution Support
- Operational Tracking: Maintain central marketing project calendars, monitor campaign deadlines, and keep monthly marketing meeting agendas organized.
- Performance Metrics: Input and maintain data inside initial marketing performance dashboards to support performance reviews
