THE ROLE

Vox Media is seeking an experienced Manager, Workplace to lead the day-to-day operations of our New York City office. This role is responsible for creating a well-run, responsive, and thoughtfully maintained workplace that supports how our teams work and collaborate.

This is a hands-on operational role for someone who takes pride in making an office work well. You’ll oversee day-to-day workplace operations, manage a small team of employees and contractors, and partner closely with the Head of People to ensure our spaces are welcoming, functional, and responsive to employee needs.

While the primary focus is our New York headquarters, you'll also support the day-to-day operations of our Washington, DC office through remote coordination with local partners and vendors.

WHAT YOU'LL DO

• Oversee daily workplace operations, ensuring the office is well-maintained, functional, and supports a productive employee experience.
• Manage a team of full-time, temporary, and contract staff, including scheduling, approving timesheets, and day-to-day direction of work.
• Serve as the operational owner of the New York workplace, bringing together employees, vendors, building management, and internal partners to ensure the office runs smoothly every day.
• Establish and maintain clear workplace processes, documentation, and operating standards that enable consistent service and operational excellence.
• Own the operational management of workplace budgets, purchase orders, invoices, and vendor payments, ensuring accurate financial tracking and strong partnership with Finance.
• Serve as the primary point of contact for building management, overseeing logistics such as access, maintenance coordination, and adherence to building policies.
• Ensure workplace safety and compliance by conducting regular on-the-ground checks, maintaining protocols, and responding to issues as they arise.
• Act as a point of coordination during workplace-related incidents or crises, supporting clear and timely on-the-ground communication.
• Support space planning and workplace requests from stakeholders, balancing competing needs while maintaining operational efficiency.
• Manage relationships with workplace vendors and service providers, ensuring high-quality service, timely issue resolution, and continuous improvement across workplace operations.
• Lead workplace projects such as office moves, space reconfigurations, vendor implementations, and operational improvements from planning through execution.
• Partner with business leaders to plan workspace needs, balancing employee experience, operational requirements, and efficient use of office space

WHAT YOU'LL BRING

• Experience managing people, including direct reports and/or contract staff, with a focus on clear communication and accountability.
• Experience managing workplace operations in a headquarters or multi-site office environment preferred.
• Strong operational and organizational skills, with the ability to manage multiple priorities and workflows at once.
• Experience managing budgets, invoices, and vendor relationships in a professional setting.
• A proactive, solutions-oriented mindset with the ability to anticipate needs and resolve issues quickly.
• Comfort working cross-functionally and managing requests from a wide range of stakeholders.
• Strong judgment and discretion, particularly in situations involving safety, compliance, or sensitive workplace issues.
• Experience working in office operations, workplace management, facilities, or a related field.
• Comfort learning and adopting new technologies, including AI tools, to improve operational efficiency and team workflows.
