The Manager, Specialty Pro Quotes leads a team of Specialty Pro Quote Specialists responsible for complex requests for quotes (RFQs), custom pricing strategies, and profitability analysis. This role oversees quote accuracy, turnaround times, pricing consistency, and margin optimization while ensuring exceptional support for strategic customers and sales teams. The Manager serves a liaison between Sales, Procurement, Operations, Finance, and key vendor partners to drive revenue growth, improve win rates, and develop scalable quoting processes that support business objectives.

Key Responsibilities

Team Leadership & Development

• Lead, coach, and develop a team of Specialty Pro Quote Specialists to ensure high-quality quote generation and customer support.
• Establish performance expectations and conduct regular coaching, performance reviews, and career development discussions.
• Monitor workload distribution and staffing levels to ensure service-level commitments are met.
• Foster a culture of accountability, continuous improvement, and customer focus.

Quote & Pricing Strategy

• Oversee complex RFQs and high-value opportunities to ensure pricing competitiveness and profitability.
• Approve pricing exceptions, non-standard terms, and strategic account proposals.
• Develop and maintain pricing frameworks, matrices, and governance standards.
• Partner with Sales leadership to create pricing strategies that maximize conversion rates and profitability.

Operational Excellence

• Establish standardized quoting procedures, workflows, and service-level agreements.
• Drive continuous process improvements that enhance efficiency, accuracy, and customer experience.
• Identify automation opportunities within CRM, ERP, and pricing platforms.
• Ensure compliance with company policies, contractual requirements, and regulatory standards.

Cross-Functional Partnership

• Collaborate with Sales, Operations, Supply Chain, Finance, Legal, and Product teams to resolve complex quoting issues.
• Partner with regional leaders to develop account-specific playbooks and repeatable best practices.
• Serve as the escalation point for high-risk or strategically significant quoting opportunities.
• Communicate market trends, pricing challenges, and competitive intelligence to leadership.

Vendor & Supplier Management

• Develop relationships with key vendors and suppliers to secure favorable pricing and service levels.
• Support negotiations and sourcing initiatives that improve cost structures and margins.
• Monitor supplier performance and identify opportunities for strategic partnerships.

Performance & Analytics

• Monitor quote pipeline performance and team productivity using CRM and ERP systems.
• Analyze conversion rates, margin performance, quote accuracy, and turnaround times.
• Generate and present performance metrics and business insights to senior leadership.
• Develop action plans to address performance gaps and drive continuous improvement.

Required Skills & Experience

Education

• Bachelor's degree in Business, Finance, Supply Chain, Operations Management, Marketing, or related field preferred.
• Equivalent combination of education and experience may be considered.

Experience

• 5–8 years of experience in pricing, quoting, estimation, sourcing, sales operations, or commercial operations.
• 2+ years of leadership experience managing teams in a fast-paced, customer-focused environment.
• Experience supporting large-scale commercial, industrial, construction, manufacturing, or specialty product environments preferred.

Technical Skills

• Advanced proficiency in Microsoft Excel, including Pivot Tables, Power Query, advanced formulas, and data analysis.
• Experience utilizing ERP and CRM systems such as Salesforce, Prophet 21, SAP, Oracle, or similar platforms.
• Strong analytical and financial acumen with experience managing margin performance.

Team Quote Accuracy

• Ensure team quote accuracy remains within approved variance guidelines.
• Target: 95%+ quote accuracy with minimal post-award margin erosion.

Quote Turnaround Time (TAT)

• Oversee timely completion of quote requests while maintaining quality standards.
• Target: Average turnaround time of 24 hours or less for standard opportunities.

Conversion Rate

• Drive quote-to-order conversion through pricing strategy, responsiveness, and customer support.
• Target: Year-over-year improvement in conversion rates and revenue generated.

Gross Margin Performance

• Maintain profitability while supporting competitive market pricing.
• Target: Meet or exceed established margin objectives.

Team Productivity

• Monitor quote volume, workload management, and specialist output.
• Target: Achievement of departmental productivity and service-level goals.

Customer & Sales Satisfaction

• Ensure internal and external stakeholders receive responsive, value-added support.
• Target: Achieve established customer and sales partner satisfaction benchmarks.

Process Improvement

• Identify and implement operational enhancements.
• Target: Annual gains in efficiency, automation adoption, and cost reduction.
