POSITION/ROLE OVERVIEW

The Manager of Faculty Affairs supports the work of the Faculty Affairs Hub at Lang/NSSR.. The Faculty Affairs Hub supports the administration of both Full-time Faculty (FTF), Part-time Faculty (PTF), and Teaching Fellows (TF) as well as compliance with the Full-time Faculty handbook, UAW PTF and ASW SENS union contracts. The position reports to the Associate Dean of Administrative Faculty Affairs and will also support and have a dotted line to the Assistant Dean of Part-time Faculty Affairs.

 

CORE CAPABILITIES, PRIMARY DUTIES, AND RESPONSIBILITIES


Faculty Review and Compliance

  • Coordinate and support confidential review processes for full-time faculty reappointment, tenure, promotion, and annual evaluation as needed (in conjunction with the Assistant Dean of Faculty Affairs).

  • Organize records tracking upcoming reappointment and promotion reviews in coordination with the provost’s office.

  • Manage information packets for faculty designees supporting faculty reviews.

  • Manage final faculty review materials in preparation for school-based reappointment and promotion review committees. Manage distribution of dossiers, course evaluations, external and department letters, deans’ letters, and final dockets.

  • In coordination with the Assistant Dean, develop and distribute general academic policies for faculty, including central guidelines on syllabi requirements, attendance, and grading; remain well-versed in faculty academic policies.

Hiring, Recruitment, and Visiting Scholars

  • Oversee completion from start to finish faculty hiring processes. This includes: managing search postings and informing departments about general search guidelines; drafting faculty contracts for review by deans and provosts once contract negotiations are complete; and managing all HR processes with faculty to formally complete hiring needs.

  • Support faculty search and recruitment, including Heuss professors, ensuring jobs are accurately posted, archiving application materials, supporting search committees, and visiting scholar paperwork and tracking as needed.

  • Direct the school’s Visiting Scholars program, explaining procedures and visa needs. Work with department chairs and secretaries to implement the program successfully, and hire and train part-time support staff on policies, in-take, letters of invitation, and program file management.

  • Hire and oversee Teaching Fellow and Teaching Assistant appointments, in accordance with the SENS-UAW CBA.

Administrative, Data, and Financial Support

  • Oversee time-sensitive visa requests for school faculty and term visitors; work independently on visa paperwork with internal and external legal specialists and the office of international scholars.

  • Maintain oversight of Memorandums of Understanding (MOUs) outlining additional faculty compensation, and coordinate payments with the Senior Budget Director.

  • Serve as the point person for tracking FTF/TF absences/safe and sick hours and writing MOUs for substitution payments (in conjunction with the Assistant Dean of Faculty Affairs).

  • Manage tracking records on full-time faculty workload, academic leave accrual, and leave requests. Ensure final sabbatical approvals are accurately transmitted to the budget director and placed into HR systems in a timely fashion.

  • Construct and manage input of faculty data over time (e.g., school-based charts on faculty status, leaves, MOUs, and service assignments); serve as MyDay partner maintaining centralized full-time faculty information. Assist with updating academic appointments in MyDay as needed.

General Faculty Affairs Support

  • Work with the Assistant Deans to support faculty orientations, workshops, programs, and other initiatives; update the faculty packet.

  • Track data on missing or late grades and follow-up with faculty as needed.

  • Serve as the liaison for EvaluationKit, including requesting updated access for chairs/directors, reviewing course evaluation configuration each term, and updating TF/TA information in Banner for course evaluations.

  • Prepare and maintain various faculty data sets for the Assistant Deans with an emphasis on data accuracy, integrity, and confidentiality.

  • Perform other administrative duties as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree with related professional experience.

  • At least three years’ work experience in educational administration.

  • Self-starter capable of managing multiple responsibilities in a complex work environment.

  • Ability to work successfully independently as well as part of a team.

  • Ability to communicate well with diverse populations including faculty and staff throughout the University.

  • Excellent written, analytical, and communication skills with a high level of professionalism and discretion. 

  • Proficiency in Microsoft Office applications and Google docs

  • Experience working with data and generating reports.

PREFERRED QUALIFICATIONS

  • Master’s degree.

  • Knowledge of Banner, Tableau, and WorkDay and the ability to pull and prepare reports out of these systems.

WORK MODE

This position is primarily in-person and is based on campus to support effective in-person collaboration and engagement.

Hybrid work arrangements may be considered on a case-by-case basis, depending on the nature of the role and operational needs. Any such arrangement must be discussed and approved in advance by the appropriate division lead or their designee. #LI-ONSITE

SALARY RANGE

$70,000 - $73,000 per annum
